Mortgage Documentation Officer – Optimum Mortgage
Optimum Mortgage is the residential lending division of Canadian Western Bank and we are the fastest growing business in the company! We are looking for individuals to join our growing team who are diligent, confident, have an eye for detail and are self managed.
As a Mortgage Documentation Officer, you demonstrate excellence in reviewing pre-funding conditions and documents in a paperless environment to ensure policy, regulatory and audit requirements are satisfied. You maintain a high attention to details and customer service in order to maximize broker-originated opportunities.

Make an impact by:
Review conditions for files including:
Income, Down Payment, Title Searches, Credit Bureaus, Purchase documents, notice of assessments (NOA’s), Company Documentation, Condominium Documentation
Accountable for fraud detection and ensuring a satisfactory inspection and audit.
Ensure supporting documentation and conditions deemed satisfactory in adherence to policy, regulatory, and AML requirements.
Additional Key Focuses:
Review and sign off on any Solicitor conditions.
Assist with the Scheduled funding report to maximize potential funding opportunities by consistently working files in our pre-funding pipeline.
Ensure adherence to bank C-34 and CT-36 policies, procedures, regulatory, and AML requirements with high attention to Fraud detection.
Work in a fast-paced environment and effectively manage a high volume desk, completing an average of 12 updates a day.
Drive the application pipeline forward through diligent follow-up on all “approved” files by consistently utilizing the scheduled funding report on a weekly basis.
Maintain a 24 hour turnaround time for communication ‘touch-points’.
Create efficiencies and challenge the status quo by providing alternative document solutions that are within policy and agreement to the broker & their client
Support underwriters and business development managers in closing deals.
Utilize resources available; participate in regular education around fraud prevention.
Who you are:
Business administration diploma or equivalent work experience.
Minimum 3 years mortgage administration experience. Understanding of Alt –A lending practices is an asset.
Demonstrate an understanding of mortgage lending guidelines, compliance, regulatory and AML requirements around fraud detection.
Demonstrated experience in reviewing conditions for mortgage files (Income, Down Payment, Title Searches, Credit Bureaus, Purchase documents, notice of assessments (NOA’s), company and condominium documentation.
Knowledge of Mortgage Administration for conventional, high ratio, and HELOC residential mortgages.
Knowledge of Regulatory and AML requirements, with Fraud detection.
Excellent ability to prioritize in a high-risk, fast pace/high-volume and deadline driven environment.
Strong analytical skills and attention to detail.
Excellent organization skills with the ability to prioritize.
Excellent interpersonal and organizational skills.
Excellent written and verbal communication skills.
Results-driven and deadline-driven in a fast pace/high-volume, team environment.
