Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. This role is vital in ensuring the smooth operation of our office environment, providing essential administrative support, and maintaining excellent customer service standards. The ideal candidate will possess strong clerical skills, proficiency in various software tools, and the ability to manage multiple tasks efficiently. Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and general administrative tasks such as scheduling appointments and managing calendars
- Provide customer support by addressing inquiries via phone, email, or in person, ensuring excellent phone etiquette and customer service
- Assist with bookkeeping activities, including invoicing, billing, and basic financial record keeping
- Support office organization through filing, document management, and maintaining office supplies
- Coordinate with team members to ensure efficient workflow and timely completion of administrative projects
- Perform light clerical duties related to medical or dental office procedures if applicable
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail for data entry and proofreading tasks
- Previous clerical or administrative experience preferred; experience in medical or dental offices is a plus
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to manage multi-line phone systems efficiently and handle front desk responsibilities confidently
- Strong typing skills for accurate data entry and document preparation
