This is a fixed-term position ending on June 18, 2027, with the potential to become permanent.
Schedule:
- Wednesdays: 12:00 pm - 8:00 pm
- Thursdays: 12:00 pm - 8:00 pm
- Fridays: every second week 8:00 am - 2:00 pm
- Saturdays: once a month 8:00 am - 3:00 pm
We are seeking a highly organized and detail-oriented Dental Administrator to oversee the daily operations of our dental practice. The ideal candidate will manage administrative tasks, coordinate patient services, and ensure the smooth functioning of the office. This role requires excellent communication skills, proficiency with dental office software, and a strong understanding of office administration. The Dental Administrator will play a vital role in maintaining efficient office workflows, supporting clinical staff, and enhancing patient experience.
Responsibilities:
- Responsible for optimizing the appointment schedule by ensuring the day is full, with limited gaps
- Manage all patient calls and inquiries with a smile: appointments, confirmations, and amendments
- Manage potential cancellations and overcome objections to motivate the patient to keep the appointment
- Manage appointment scheduling, patient check-in/check-out, and billing processes using Dentrix or similar dental software
- Effectively manage the recall system and accurately maintain the patient database
- Process referral letters and other patient correspondence upon receipt from the provider
- Handle patient inquiries, billing issues, and provide exceptional customer service
Skills
- Proficiency with Dentrix or other dental practice management software
- Experience in dental office administration or medical office management
- Supervising experience in a healthcare setting or administrative team leadership
- Excellent organizational skills with attention to detail and multitasking ability
- Exceptional communication skills for interacting with patients, staff, and dental providers

About You:
- Minimum 1 year of Administrator experience
- Clinical background considered an asset
- Experience with Dental software
