Job Summary
We are seeking a proactive and detail-oriented Human Resources Assistant to join our team. In this role, you will support day-to-day Human Resources functions while assisting with the administration and coordination of our workplace Health & Safety program.
Responsibilities will include recruitment and onboarding, employee records, training and development, employee relations, Health & Safety documentation and compliance, workplace inspections, and general HR administration.
This position is well suited to someone who is organized, approachable, able to maintain confidentiality, and comfortable working with employees and management across different areas of the organization.
DutiesHuman Resources
- Assist with talent acquisition, including job postings, applicant screening, interview coordination, reference checks, and recruitment administration.
- Support employee onboarding and offboarding processes and ensure required documentation is completed and maintained.
- Manage data entry and employee information within ADP to ensure records remain complete and accurate.
- Assist with training and development initiatives by coordinating schedules, preparing materials, and tracking employee participation and completion.
- Respond to general employee inquiries and support communication between employees and management.
- Assist with the implementation and communication of HR policies, procedures, and company initiatives.
- Collect and maintain HR data and assist with reporting and payroll-related information as required.
- Maintain confidential employee records and personnel files.
- Provide general administrative support to Human Resources and management.
Health & Safety
- Assist with the administration and ongoing maintenance of the company's Health & Safety program.
- Help ensure workplace Health & Safety policies, procedures, postings, records, and documentation are current and properly maintained.
- Assist with coordinating and documenting workplace inspections and follow up on identified deficiencies or corrective actions.
- Support the Joint Health & Safety Committee (JHSC), including meeting coordination, minutes, documentation, recommendations, and follow-up items.
- Maintain Health & Safety training records and assist with scheduling required employee training and recertification.
- Assist with new-hire Health & Safety orientation and ensure required acknowledgements and training documentation are completed.
- Maintain records relating to workplace incidents, injuries, near misses, inspections, corrective actions, and other Health & Safety matters.
- Assist management with incident and workplace investigation documentation as required.
- Monitor Health & Safety supplies, signage, first-aid requirements, PPE, eyewash stations, and other workplace safety requirements and bring deficiencies to management's attention.
- Assist with reviewing and updating Health & Safety policies, procedures, forms, and programs.
- Help promote a positive workplace safety culture by encouraging employees to report hazards, concerns, incidents, and near misses.
- Support management in maintaining compliance with applicable occupational health and safety requirements.
Requirements
- Previous experience in Human Resources, Health & Safety, administration, or a related role is preferred.
- Experience with HRIS platforms such as ADP is an asset.
- Experience working with SAP or similar business systems is an asset.
- Knowledge of Human Resources practices, including recruitment, onboarding, employee relations, training, and record keeping.
- Knowledge of workplace Health & Safety practices and applicable occupational health and safety requirements is considered an asset.
- Strong organizational and project-management skills with the ability to manage multiple priorities.
- Strong attention to detail and commitment to maintaining accurate records and documentation.
- Excellent written and verbal communication skills with the ability to interact professionally with employees at all levels.
- Ability to handle confidential and sensitive employee information with discretion.
- Strong computer skills, including Microsoft Office applications.
- Ability to work independently while also contributing positively within a team environment.
