DUTIES AND RESPONSIBILITIES:
Reporting to the Director, Financial Aid and Awards, the Financial Aid Assistant is responsible for timely and accurate administration, processing, and delivery of the OSAP program, bursary and awards within the Financial Aid and Awards Office. The incumbent supports the enrolment of new students and the retention of current students by providing customer service and advice to students, parents, and other third parties on a variety of financial aid programs. The incumbent will review, process and evaluate electronic applications, determine applicant eligibility, maintain confidential files and input all necessary data. The incumbent will positively represent Durham College to prospective students, parents, and third parties while participating in recruitment activities.
Provides quality customer service and responds to in-person, telephone, and email inquiries regarding all government, private and institutionally funded financial assistance programs administered through the Financial Aid Office.
Assess and determine student’s eligibility for all programs including full and part time financial aid, awards, emergency loans, bursaries and employment programs.
Assists students with the completion of online and paper application forms for federal and provincial loans programs, government bursaries, internal and external donor scholarships, bursaries and awards.
Investigates and resolves student inquiries regarding anomalies and discrepancies with their application for financial assistance. Resolves problems related to applicant/student circumstances or school/financial aid program needs. Determines the appropriate course of action for those extenuating cases that require specialized counseling and documentation.
Approve distribution of loan funding, grant and bursary cheques to eligible students according to Ministry policies.
Addresses and corrects/modifies and technical/systems/process errors identified
Independent decision making required when assessing document approval, application updates, complex student inquiries, and providing accurate guidance to students with up-to-date information.
Provides efficient and accurate processing of applications, corrections of errors and changes to student files on the Ministry OSAP on-line system.
Enters and maintains Student OSAP records via Ministry on-line system.
Identify and request missing information, file changes, edit and complete application, appeals, change of eligibility.
Examine and evaluate incoming documentation and inform students of discrepancies and further requirements.
Compile and process end of year archiving for the Ministry, ensuring accuracy and all policies and procedures are followed.
Scan and upload confidential documents for Ministry records.
Accurate decision-making required to review and approve/deny documentation submitted through Ministry upload portal and make necessary adjustments to application information.
Office Coordination & Administration:
Compile and maintain all applicant files adhering to supporting documentation requirements. Maintenance of strict confidentiality regarding student records and information. Adhere to Ministry audit requirements.
Verifies students’ status and entitlement eligibility in accordance with Ministry Compliance and Audit Guidelines prior to distribution of loan documents, cheques, schedules and forms.
Collect and verify weekly cheque distributions.
Provide efficient front line support. Serves as a backup Financial Aid Officer when required.
Efficiently provides support during peak times with high volumes of incoming calls and emails.
Presentations & Workshops:
Assist with the development and implementation of workshops regarding OSAP and alternative financial aid programs to students, parents, teachers and counsellors.
Explain, educate and guide students and potential students on next steps in the OSAP process.
Compose and edit material for print and electronic publication.
Present information regarding budgeting and financial aid options to individuals and group settings.
Assists in the preparation of and attends the annual awards ceremonies and open houses.
A minimum of a three year diploma in Business, Office Administration or other related post –secondary diploma/degree
A minimum of two years’ experience in a Financial Aid office with a genuine orientation toward customer service and the ability to convey a friendly, professional and respectful manner.
Experience in Marketing and Communications
Excellent oral and public speaking skills.
Thorough knowledge of government, university, bank and private financial aid and award programs.
Proven ability to carry out concurrent projects involving shifting deadlines and priorities.
Must have proven experience showing a high degree of planning and organizational skills and demonstrated analytical and problem solving skills with a proven aptitude for detail and accuracy.
Excellent interpersonal and customer service skills.
Maintenance of strict confidentiality of student records.
Demonstrated organizational skills and ability to handle competing priorities, frequent interruptions and ongoing deadlines.
Candidates will be required to demonstrate technical skills as part of the selection process.
