Toothworks Brookfield Place is a modern, high-volume dental clinic located in the heart of Toronto's financial district. As part of the Toothworks (Dentalcorp) network, we serve a busy professional patient base and pride ourselves on a collaborative, high-performing team culture.
We're looking for an experienced dental Office Manager who can lead with confidence, drive operational excellence, and serve as the backbone of our Brookfield Place clinic - while also providing support and oversight across our broader downtown Toronto locations as needed.
The Role
This is a senior leadership role for someone who knows dental operations inside and out. You'll be responsible for the day-to-day management of the clinic, the performance and wellbeing of the team, and the financial health of the practice. You'll work closely with the dental team, regional leadership, and support functions across the Dentalcorp network to ensure consistently exceptional outcomes for both patients and staff.
This is primarily based at Brookfield Place, with occasional oversight and support extended to other downtown Toothworks locations.
Key Responsibilities
Operations
- Oversee all daily clinic operations, ensuring efficient workflows and a consistently positive patient experience.
- Monitor and manage scheduling, patient flow, and operatory utilization.
- Maintain compliance with all regulatory, health and safety, and Dentalcorp policy requirements.
- Use Abeldent to oversee patient records, scheduling, and reporting.
Financial & Billing
- Oversee billing, insurance submissions, collections, and accounts receivable.
- Monitor clinic performance against targets and work with regional leadership to address gaps.
- Manage operational expenses and support budget adherence.
- Ensure accuracy and timeliness of insurance claims and fee guide compliance including ODA, IFHP, and CDCP.
People Management
- Lead, mentor, and support the administrative team, fostering a positive and accountable workplace culture.
- Oversee recruitment, onboarding, scheduling, and performance management of front desk staff.
- Serve as the primary point of escalation for team concerns and patient complaints.
- Support staff development and contribute to a culture of continuous improvement.
What We're Looking For
- Minimum 3-5 years of experience managing a dental office, with a track record of operational and team success.
- Proficiency with Abeldent dental software (required).
- Strong financial acumen - experienced in billing, insurance, collections, and practice performance metrics.
- Proven people management skills - comfortable leading, coaching, and holding a team accountable.
- Deep knowledge of dental billing, the ODA fee guide, and insurance claim processes; IFHP and CDCP experience is a strong asset.
- Excellent communication and organizational skills.
- Flexible and adaptable - able to provide support across multiple downtown locations as needed.
