This job provides strategic business analysis expertise in support of Student Information Systems, including Online Form Solutions. The role serves as a key liaison between schools, central service units, IT, external vendors, and Alberta Education and Childcare (ECC), ensuring that student data and information systems are effectively designed, integrated, and optimized to support operational and strategic goals.
This Senior Business Analyst ensures that Student Information Systems align with organizational priorities, ECC requirements, and best practices in data management, privacy, and system design. The role provides analytical services, implementation support, technical and process guidance, and leads continuous improvement efforts to enhance system functionality, data integrity, and user experience across the organization.
Collaborate with internal and external clients to analyze system capabilities and operational needs related to student data and information systems.
Critically evaluate information gathered to identify operational efficiencies and gaps between system functionality and business requirements.
Lead and support continuous improvement initiatives that enhance workflows, data quality, reporting capabilities, and user experience within Student Information Systems.
Serve as the primary liaison between the Student Information Systems team, School Improvement portfolios, other service units, schools, senior leadership, IT, vendors, and Alberta Education and Childcare (ECC).
Elicit, document, and validate business requirements for system enhancements, integrations, and process improvements.
Translate business needs into functional and technical requirements in collaboration with technical teams.
Support implementation, configuration, testing, and ongoing optimization of Student Information Systems and Online Form Solutions.
Ensure all Student Information Systems, processes, and data practices comply with applicable legislation and policies, including the Protection of Privacy Act (POPA), Access to Information Act (ATIA), and Alberta Education and Childcare (ECC) requirements. This includes leading and supporting the design and implementation of appropriate role-based access controls, overseeing provisioning and deprovisioning of system access, and ensuring that access to student information is granted, maintained, and audited in alignment with privacy, security, and operational requirements.
Present findings, recommendations, and solutions clearly to stakeholders across the organization.
Support clients in leveraging system capabilities and refining processes to meet evolving needs.
Lead the development, documentation, and continuous improvement of business processes related to student data, registration, forms, and system workflows.
Proactively engage stakeholders to identify needs and develop high-quality artifacts such as:
Business requirements documentation
Use cases and process maps
Functional specifications and workflows
Support and lead system configuration activities, including:
Develop test plans and scenarios aligned with business requirements and lead functional testing and validation.
Collaborate with technical teams and vendors to ensure system integrations, data flows, and data mappings are accurate and efficient.
Ensure data integrity, privacy, and security are maintained across all systems and processes, including compliance with Alberta Education and Childcare (ECC) and federal privacy requirements.
Identify reporting and dashboard requirements, working closely with data and technical teams.
Provide expertise and guidance to schools and central teams on system processes such as:
Lead or contribute to cyclical system processes (e.g., school year rollover, registration cycles).
Develop and maintain comprehensive business and technical documentation.
Identify opportunities to leverage system functionality to improve efficiency and user experience.
Contribute to vendor management activities, including reviewing service delivery and supporting contract optimization.
Provide mentorship and guidance to team members and stakeholders to support best practices in system use and process design.
University degree in Business, Information Systems, Education, or a related field.
Minimum five years of progressively responsible experience in business analysis, preferably supporting enterprise systems.
Certification in Business Analysis (e.g., CBAP, PMI-PBA) or equivalent.
Experience supporting Student Information Systems, PowerSchool, or similar platforms is highly desirable.
Experience with system integration, configuration, and data processes.
Experience working within a large, complex organization, preferably in the public or education sector.
