Our full‑service resource centers support aftermarket rotating equipment repair and refurbishment for industrial, mobile, mining, and municipal wastewater applications.
Position Summary
The Administrative Assistant / Safety Coordinator oversees daily office operations, safety program administration, and compliance activities across our machine shop, welding, and millwright service environments. This role requires strong organization, accuracy, and the ability to maintain detailed documentation in a fast‑paced industrial setting.
Responsibilities
- Manage front desk — Duties include greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
- Administrative Support — Maintain job folders, customer documentation, time card/data entry, AP/AR/Payroll transactions, general office coordination
- Safety Program Administration — Safety records, training logs, orientations, toolbox talks, incident documentation
- Compliance & Reporting — COR, OH&S, and customer‑specific safety requirements including participation with internal/external safety audits
- Document Control — Job traveler packages, inspection reports, SOPs, safety forms, network scanning and hard file organization
- Shop Support — PPE inventory control, safety inspections, employee orientation/training coordination, minor tool/supply/consumables purchasing
- Customer & Vendor Communication — Professional communication with clients, suppliers, trades, and technical teams
Qualifications & Requirements
- Office Administration Experience — 2+ years preferred
- Junior Accounting Background — AP/AR/Payroll support
- Strong proficiency with QuickBooks Enterprise System is a must
- Proficiency with Microsoft Office (Word, Excel) & Google Workspace (Gmail, Calendar)
- Ability to manage confidential information and maintain accurate records
- Excellent communication, organization, and time‑management skills
- Valid driver’s license and reliable transportation
Preferred Qualifications
- Safety Certification — CSTS, WHMIS, First Aid, or equivalent considered an asset
- Experience supporting COR audits or OH&S compliance
- Experience in machine shops or heavy industrial job‑shop environments
Pay: $50,000.00-$75,000.00 per year
