EXECUTIVE ASSISTANT TO THE HEAD OF SCHOOL
Reporting to the Head of School, the Executive Assistant provides key leadership and administrative/clerical support to the Head of School, Board of Governors and the senior leadership team. In addition, the incumbent shall have lead responsibility for records management, human resources administrative processes, coordination of events, and oversight of a range of administrative projects to ensure smooth and efficient operation of school administrative functions.
Duties and Responsibilities
1. Coordinates and completes all administrative and clerical functions supporting the Head of School including preparation of correspondence, organization of meetings, document management, and event planning
2. Supports the Board of Governors by managing meeting logistics, recording and distributing meeting minutes, and ensuring timely communication of notices. Maintains essential documents and records, oversees follow-ups on assigned tasks, and assists with other duties as needed for the effective operation of the Board and its committees
3. Provides administrative support to the senior leadership team of the School as required including preparation and upkeep of key operational documents and manuals as well as undertaking administrative projects as assigned.
4. Coordinates and completes human resources administrative functions that support recruitment, onboarding, offboarding, personnel files management, issuing of teacher contracts, and employee handbook updates
5. Works as a team lead providing support, coaching and assistance as required to administrative colleagues to ensure effective and efficient administrative processes throughout the school
6. Oversees records management for the Head of School office and the Board of Governors, ensuring that current and effective practices are maintained for both physical and electronic records
7. Creates, updates and maintains the calendar of school events and ensures all stakeholders are informed as changes are made.
8. Performs other related duties as required
QUALIFICATIONS:
· Bachelor's degree or Advanced Diploma in business administration, communications, or a related field, or equivalent combination of education and experience.
· At least 7 years of directly related administrative work experience is required.
· Advanced expertise in Microsoft 365 web and app-based platforms, Adobe Acrobat, and other web-based applications is essential.
