Job Summary
We are seeking a detail-oriented, organized, and proactive Office Administrator / Bookkeeper to support the company’s financial operations, administrative functions, and management team. The ideal candidate will have strong bookkeeping and accounting knowledge, excellent organizational skills, and the ability to manage priorities and deadlines effectively.
Key Responsibilities
- Manage accounts payable and receivable, including timely payments and collections.
- Perform bank/account reconciliations and resolve discrepancies.
- Complete month-end accounting and support financial reporting.
- Maintain accurate financial records and documentation.
- Assist with payroll and tax filings.
- Work with the General Manager to oversee monthly budgets.
- Coordinate with CSRs, Logistics, and Sales to ensure smooth order process.
- Monitor order status, identify potential delays, and escalate issues promptly.
- Support the General Manager and Controller with financial, operational, and Board reporting.
- Coordinate monthly meetings with the Controller, including scheduling, agendas, and follow-up.
- Provide timely financial and operational information to support management decision-making.
- Coordinate day-to-day office administration, including scheduling, correspondence, supplies, and general requests.
- Manage emails, phone calls, and administrative inquiries professionally and efficiently.
- Support HR activities, including onboarding and employee documentation.
Qualifications & Requirements
- Degree, diploma, or certificate in Office Administration, Accounting, or Business Administration, or equivalent education and experience.
- Education or experience in office administration, with a focus on accounting functions.
- Proficiency in accounting software such as Zoho Books, QuickBooks, Xero, or Sage is highly desirable.
- Strong understanding of accounts payable, accounts receivable, bank reconciliation, and account reconciliation processes.
- Excellent organizational skills with attention to detail and accuracy.
- Ability to work independently as well as collaboratively within a team environment.
- Strong English communication skills, both verbal and written.
- Familiarity with basic office software (Outlook, Excel, Word, Teams, etc.) and procedures.

Pay: $54,000.00-$60,000.00 per year
