Administration / Reception Professional
We are hiring an experienced Administration / Reception Professional to be
the welcoming face of our office and provide reliable administrative support to the
whole team.
Role Summary
You will be the first person guests see, answer incoming phone calls, and provide day‑to‑day administrative support to all team members. This is a hands‑on role in a busy environment where accuracy, professionalism, and strong communication matter.
Key Responsibilities
- Greet visitors and manage the reception area with a professional, friendly presence
- Answer and direct incoming phone calls promptly and courteously
- Provide administrative support to all members of the team across projects and departments
- Prepare, maintain, and organize proposal documents, templates, and submission records
- Track submission deadlines and ensure timely delivery of tender and prequalification packages
- Assist with online bidding systems and maintain bidding logs and records
- Draft, proofread, and format documents and correspondence to a high standard
- Manage incoming email and general office communications
- Coordinate meetings, schedules, and basic office logistics, as required
- Maintain office supplies and filing systems
Qualifications
- Minimum 5 years’ administrative or reception experience
- Construction industry experience preferred
- Experience with tenders and prequalification’s preferred
- Familiarity with online bidding platforms preferred
- Strong reading and proofreading skills
- Excellent verbal and written communication skills
- Highly organized, detail oriented, and able to manage competing deadlines
Skills and Tools
- Proficient in Microsoft Office programs
- Experience with Adobe or equivalent PDF editing tools
- Strong document management

Pay: $40,000.00-$55,000.00 per year
