Job Overview
We are seeking a highly organized and proactive Real Estate Administrative Assistant to join our dynamic team. This role is essential in supporting daily operations, managing client communications, and ensuring the smooth flow of real estate transactions. The ideal candidate will possess excellent communication skills via telephone, text, email, a strong background in administrative tasks, and a passion for real estate. Experience in Polygon MLS, KV Core CRM, Canva, and Ai are considered valuable assets. This position offers an engaging environment where attention to detail and customer service excellence are paramount.
Responsibilities
- Manage and coordinate schedules for property showings, meetings, and appointments
- Listing onboarding: Listing Contracts, Arranging with Photographer, Uploading new listing onto MLS
- Closing procedures: keeping tabs on clients during subject removal, coordinating with mortgage broker, property inspector, key pick-up (if necessary), sending documents and filling out forms to head office
- Assist with marketing efforts including online listings, Facebook/Instagram updates, and creating promotional materials via Canva
- Manage and update the CRM
- Provide exceptional customer service by addressing inquiries promptly and professionally
Qualifications
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills—both verbal and written in English
- Knowledge of the process of buying or selling a home (if you've already bought one, great because you know!)
- HELPFUL service-oriented mindset with a professional demeanor
- Ability to work independently as well as part of a team in a fast-paced environment
- Proficiency in KV Core CRM, MLS Paragon, Touchbase
