How You'll Perform the Role
To provide excellent customer support daily.
- Process all customer purchase Orders received via fax or e-mail, ensure accuracy of pricing, correct item number, product quantities and product availability before confirming customer Purchase Order.
- Follow up with the Pricing Department on any pricing discrepancies and inform the customer when information is in their interest.
- Send order confirmation to the customer within 24 hours.
- Ensure lead times standard operating procedure when applying the customer require date for delivery to avoid any rush/urgent shipments.
- Follow the Customer Documentation Flow (SOP) to ensure all documents (Purchase Order, Order confirmation and BOL) is sent over to Finance Department for invoicing.
- Provide on time response to customer enquiry within 24 hours.
- Follow up with the Scheduling department regarding any product shortages, increase of usage based on order patterns and advise customer of any delays or shortages.
- Check inventory continuously and follow up on with Scheduling on “hot items” or shortages daily.
- Work directly with Shipping department to ensure customer receives on time delivery and address any late shipments, missed appointments, drivers detained, and any carrier problems that may arise.
- Prepare Goods Return Request received from the customer for QA complaints, product shortages and damage products.
- Action daily backorder reports and follow up on product availability and notify the Customer of any shortages and provide dates when to expect delivery.
- Action daily Open orders with Past Due Ship dates and determine the reasons why customer order was not ship on time.
- Ensure all customer Open Orders ship and close within the same period.
- Other duties/ projects, as assigned by Manager.
What We Need From You
- 1-3 years of Customer Service with multi-process manufacturing experience.
- Excellent attention to details.
- Good oral and written communication skills.
- Great interpersonal skills with colleagues/customers.
- Strong organizational skills, good at multi-tasking and time management skills with the ability to meet tight deadlines.
- Excellent Knowledge of Microsoft Office suite (Outlook, Excel, and PowerPoint).
- Team player.
- Minimum of high school diploma.
