A Beautiful Mind Psychology and Psychotherapy Clinic is seeking a friendly, compassionate, and highly organized Receptionist/Psychologist Assistant to join our team. This position combines front desk reception responsibilities with administrative support for our psychologists to help ensure the smooth day-to-day operation of our clinic.
The ideal candidate is professional, detail-oriented, enjoys working with people, and is able to manage multiple responsibilities while maintaining a high level of confidentiality and organization. Previous experience in reception, administration, psychology, healthcare, or a related field is considered an asset.

Responsibilities
- Welcome clients and visitors in a warm, professional, and compassionate manner.
- Answer incoming phone calls, emails, and general inquiries.
- Schedule, confirm, reschedule, and cancel appointments.
- Manage clinician schedules and coordinate appointments.
- Prepare client files and ensure all required documentation is complete prior to appointments.
- Assist psychologists with administrative tasks related to psychological assessments and clinical services.
- Prepare, organize, scan, upload, and maintain clinical documentation and records.
- Assist with report formatting, proofreading, data entry, and other administrative tasks as directed.
- Communicate professionally with clients, healthcare providers, insurance representatives, rehabilitation professionals, legal offices, and other referral sources.
- Process payments and issue receipts as required.
- Maintain accurate electronic and paper records while ensuring strict confidentiality.
- Keep the reception area and office spaces clean, organized, and welcoming.
- Monitor and replenish office supplies.
- Support the clinical team with general administrative duties and special projects as needed.
- Maintain professionalism, discretion, and compliance with privacy legislation at all times.
Qualifications
- Previous experience in a receptionist, administrative assistant, medical office, psychology clinic, or similar role is preferred.
- Educational background in psychology, social sciences, healthcare administration, or a related field is considered an asset.
- Excellent interpersonal and customer service skills with the ability to make clients feel welcomed and supported.
- Strong verbal and written communication skills.
- Exceptional organizational skills with strong attention to detail.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Ability to work independently while also contributing effectively as part of a team.
- Proficiency with Microsoft Office (Word, Outlook, Excel) and general computer applications.
- Familiarity with medical or psychological terminology is an asset but not required.
- Previous experience in a healthcare or mental health setting is beneficial but not required. Training will be provided as needed.
