We are a growing, company seeking an experienced Fleet & Equipment Coordinator to lead the coordination, maintenance, and continuous improvement of a diverse commercial fleet.

About the Role
This is a hands-on leadership position with approximately:
- 50% coordination, planning, administration, and leadership
- 50% diagnostics, repairs, troubleshooting, and shop support

Key ResponsibilitiesFleet Operations
- Develop and coordinate preventative maintenance programs
- Schedule repairs, servicing, and inspections
- Minimize equipment downtime through proactive planning
- Coordinate emergency repairs and breakdown response
- Manage seasonal fleet changeovers
- Maintain detailed fleet records and service history
- Coordinate equipment purchases and disposals
- Develop long-term asset lifecycle plans
Shop Operations
- Assist with equipment diagnostics and repairs
- Maintain an organized, efficient, and safe shop
- Manage parts inventory and ordering
- Coordinate outside repair facilities and service vendors
- Administer warranty claims and manufacturer support
Compliance & Safety
- Manage CVOR compliance
- Coordinate licensing and registrations
- Schedule and document MTO inspections
- Coordinate fleet safety inspections
- Maintain accurate compliance records
- Promote a strong culture of safety and accountability
Administration
- Assist with fleet budgeting
- Manage fuel usage and reporting
- Maintain GPS and telematics systems
- Track fleet utilization and operating costs
- Maintain computerized maintenance records
- Prepare reports and recommend operational improvements
Qualifications
We're looking for someone with:
- Minimum 5 years of fleet, heavy equipment, or transportation experience
- Strong mechanical aptitude
- Excellent organizational and planning skills
- Strong computer and software proficiency
- Excellent communication skills
- High attention to detail
- Strong leadership and problem-solving abilities
- Ability to manage multiple priorities in a fast-paced environment
The following certifications or experience are considered strong assets:
- 310T Truck and Coach Technician
- 310S Automotive Service Technician
- 421A Heavy Equipment Technician
- Small engine repair
- Welding and fabrication
- Hydraulic systems
- Diesel engine diagnostics
- Electrical troubleshooting
- AR, DZ, or AZ licence
- CVOR knowledge and compliance experience

What Success Looks Like in Your First Year

- Developing and implementing a comprehensive preventative maintenance program that significantly reduces unplanned equipment downtime.
- Creating standardized fleet records, digital maintenance histories, inspection schedules, and compliance tracking systems that improve visibility and accountability.
- Improving shop organization, workflow, cleanliness, and inventory management to increase efficiency and productivity.
- Building strong relationships with suppliers, dealerships, and repair vendors to improve service, reduce costs, and maximize warranty opportunities.
- Implementing effective parts inventory controls to ensure critical components are available while reducing unnecessary inventory costs.
- Establishing consistent equipment inspection and reporting procedures that improve safety and equipment reliability.
- Enhancing fleet budgeting, fuel tracking, and utilization reporting to support informed operational and financial decisions.
- Developing long-term asset lifecycle plans that guide equipment replacement, capital planning, and fleet growth.
- Supporting operators through clear communication, planning, and leadership to foster a collaborative, high-performing team environment.
- Leveraging GPS, telematics, and maintenance software to improve equipment tracking, scheduling, and overall fleet performance.
- Helping build a proactive maintenance culture where equipment is serviced before problems occur, rather than repaired after failures.
- Ensuring all fleet operations consistently meet licensing, CVOR, MTO, and regulatory compliance requirements.
- Becoming the trusted leader for fleet operations by bringing structure, continuous improvement, and accountability to every aspect of the department.
- Contributing directly to the company's growth by ensuring equipment is safe, dependable, and available to support our teams and deliver exceptional service to our customers.
