ACCOUNTS PAYABLE & ADMINISTRATOR:
Full time OR Part time (Not Hybrid, In office position required)

Responsibilities consist of:
Accounts Payable:
- Process vendor invoices, match packing slips and purchase orders to invoice, reconcile vendor statements, and prepare payments accurately and on time (for 2 companies)
- Ensure invoices are properly approved, accurately coded and entered in our accounting system (SAGE 50 Quantum Accounting).
- Process, allocate and reconcile credit card transactions (including reviewing and validating employee expenses).
- Responsible for submitting Accounts Payable to Controller
- Assists with prep for monthly financial statements and year end closing activities
- Prepares and records Journal entries as directed by controller
Accounting Administration:
- Maintain digital spreadsheets created to ensure accuracy and records for monthly and year ends
- Willingness to learn about construction business an asset
- Assist with monthly reports in order to ensure all invoices/expenses have been received and posted in our accounting system in the correct month.
- Assisting with internal processes to help filiate order and rules around company spending and accounts payable.
- Creating and maintaining a shared calendar containing important dates and information (including employee anniversaries (vacation %), Vehicle maintenance and annual safeties etc).
What the company is looking for in a potential candidate:
· A confident, focused individual with a positive attitude who enjoys working with numbers and understands accounting.
· An individual who can get answers from people and vendors related to accounting inquires for invoices to be processed correctly (ensuring invoices are billed to correct company, breakdown of pricing, inquiries related to billing etc.)
· Ability to manage AP cycle, vendor communications efficiently.
· An individual with exceptional proven accuracy in coding invoices and reconciling accounts.
· Strong proficiency in data entry and Excel training or work equivalent. This is a must

Must be comfortable with a multitude of current technology. Proficient with the following computer environments: Microsoft Office 365, Outlook & Word.
· A working knowledge and experience using SAGE 50 (formerly known as Simply Accounting) is an asset.
Qualifications include:
- Exceptional attention to detail – accuracy is crucial when dealing with vendor payments.
- A minimum of 2 years of experience in an accounts payable, accounting and administrative role.
- Completion of a post-secondary degree/diploma in accounting or equivalent work experience.
- Experience and understanding of construction is an asset.
