We are currently seeking an eager, self-starter looking to fill the permanent, full-time position of HR Administrator, based in Calgary, Alberta.
Summary:
The HR Administrator provides administrative support to the HR Advisor across the full range of human resources activities, including recruitment coordination, onboarding and offboarding, HR records management, and benefits administration support. The role also carries responsibility for day-to-day office management, ensuring the office is well-supplied, organized, and running smoothly. This position is well suited to a detail-oriented, service-minded individual looking to build a career in human resources within a fast-paced, multi-jurisdictional organization.

This position reports directly to the HR Advisor.
Job Duties:
Specific duties and responsibilities include, but are not limited to:
Recruitment Support
- Filter and screen incoming resumes and applications against position requirements, flagging qualified candidates for the HR Advisor's review.
- Conduct initial telephone prescreens with candidates to confirm availability, eligibility to work, salary expectations, and basic qualifications.
- Schedule and coordinate interviews between candidates and hiring managers, including calendar invitations, room bookings, and candidate communications.
- Post approved job openings to job boards and the company careers channels, and monitor posting performance.
- Prepare interview packages and support reference checks as directed.
Onboarding & Offboarding Support
- Coordinate onboarding tasks across HR, IT, Safety, Operations, and Accounting, tracking completion in the onboarding tracker and following up with task owners.
- Prepare new hire packages, employment documentation, and first-day logistics, including workstation setup coordination and building/system access requests.
- Support offboarding processes, including collection of company property, system access termination requests, and exit documentation.
- Maintain accurate and confidential employee files and HRIS records, entering new hire, change, and departure data in a timely manner.
HR Administration
- Provide administrative support for benefits enrolment, changes, and terminations, and assist employees with routine benefits inquiries.
- Draft routine HR correspondence, such as letters of employment, using approved templates.
- Assist with the coordination of performance review cycles, training sessions, and compensation letter distribution.
- Support employee engagement initiatives, including planning and logistics for team-building events, wellness activities, and service award recognition.
- Assist with content updates to internal communication platforms, including the company intranet and Viva Engage.
Office Management
- Monitor, order, and stock kitchen, office, and miscellaneous supplies, maintaining appropriate inventory levels and managing supplier relationships.
- Keep common areas, meeting rooms, and the kitchen organized, presentable, and ready for use.
- Coordinate incoming and outgoing mail, couriers, and deliveries.
- Liaise with building management and vendors on office maintenance, equipment, and service needs.
- Greet and direct office visitors and provide general front-office support as needed.
Knowledge, Skill & Technical Requirements:
The requirements of this position include, but are not limited to:
- Post-secondary certificate, diploma, or degree in Human Resources, Business Administration, or a related field, or equivalent administrative experience.
- Previous administrative experience required; exposure to HR processes considered a strong asset.
- High degree of discretion and professionalism in handling confidential employee information.
- Strong organizational skills with the ability to manage multiple priorities, track detailed task lists, and follow through reliably.
- Proficiency with Microsoft 365 applications (Outlook, Excel, Word, SharePoint, Planner, Lists); experience with HRIS platforms an asset.
- Excellent interpersonal and communication skills, with a friendly, service-oriented approach.
Hours & Working Conditions:
This position is based in an office environment in Calgary, Alberta, with core hours of Monday to Friday, 8:00 a.m. to 5:00 p.m. Hybrid remote work and flexible hours may be available, subject to a successful probationary period. The role involves occasional lifting and carrying of office and kitchen supplies (up to approximately 15 lbs), as well as periodic time-sensitive demands related to recruitment scheduling, onboarding coordination, and event logistics.
