The Quality department works collaboratively with all departments to ensure DynaLIFEDx commitment to quality is ongoing and measurable. The Quality team objectively and systematically monitors and evaluates quality, accuracy, reliability, and service throughout the organization.

The role of the Administrative Assistant in the Quality department is to provide support for the Document Management Program within the organization by revising and formatting documents. The administrative assistant also provides support to the Manager of Quality and members of the Quality team by answering telephone inquiries and other general office duties

Major Functions and Responsibilities

Administers SoftTech Document and Accreditation management software by providing support to read only users and editors, formatting documents, troubleshooting problems and training new users.
Use software/computer programs such as Microsoft Office (Word, Outlook, PowerPoint, Excel, and Visio)
Answers phone inquiries and directs (if necessary) to the proper individual or takes messages.
Operate and maintain fax machines, labelling machine, photocopiers, audio conference equipment, laminating equipment, and other office equipment.
Prepares, photocopies and distributes correspondence letters, memos, reports, agendas, meeting minutes, proficiency testing information, procedures, and other requested materials.
Completes maintenance and documentation records as required.
Organizes meetings and teleconferences for department and Manager.
Manages Manager and Assistant Manager’s calendars.
Supports Quality team assisting with tasks as required.

Required Experience
2-4 years’ experience working as an Administrative Assistant is an asset.

Minimum Qualifications

High School Diploma is required.
Post-secondary diploma in a related field will be considered an asset
Knowledge of document management software is an asset.
Keyboarding and basic computer skills including knowledge of Microsoft Office (Word, Excel, Outlook, Visio and PowerPoint).
Knowledge of Medical Terminology an asset.
