JLL is currently seeking a dynamic individual for the role of "IFM Mail/Shipping and receiving clerk" to provide reliable, timely, efficient support to a brokerage team at our "Alberta Calgary" location. The position entails working with a diverse group of internal and external Stakeholders at all levels of the organization, and the individual will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of support services to the brokerage team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.

What this job involves
This position is responsible processing and delivering all mail, data and printing reproduction material to various plants and mail stations on regular schedules, and assist in all mail center functions.
Works with other Import / Export assistants to compile information on international shipping requirements for specific countries.
Ensures all Canadian custom docs and Commercial invoices are prepared properly.
Sorts mail into pigeonholes of mail racks or into bags, according to address, mailing center, organization, department or other schema and ties and labels mail for distribution to campus sites or U.S./Canadian Post Office facilities.
Weighs individual pieces or bags of mail on scales, computes postage based on weight and/or number of pieces and stamps mail by hand or with postage meter. Maintains records for purposes of billing users of mail service
Maintains records of incoming and outgoing Certified, Registered and Insured Mail
Inserts letters, circulars, or pamphlets into envelopes by hand or machine
Addresses and zip codes mail by hand or labeling machine. Conducts address search in cases of incomplete address. Maintains address records
Completes meter machine reports recording such data as ascending and descending readings from the meter, data, order number and department to be charged
Completes permit mail reports, third class bulk rare reports, second class monthly and annual reports as required
Calculates charges for postage as required
Responds to inquiries regarding postal charges and delivery options as needed.
Perform duties of Mail Distributor on an a daily basis
Manage paper/office supplies stock/distribution
On site Facilty and furntiture maintenance duties as required/requested
Back up coverage for Reception/Switchboard as required
Back up coverage for Copy room as required
Inter-department support and other duties as required

Ability to remember names and numbers, Must know the accepted diminutives of proper names
Operates and maintains standard mail equipment
Must have a valid driver's license
Must be able to lift 40-pound mail containers and move other bulk reproduction material
Knowledge of institutional shipping and receiving procedures
Knowledge of postal regulations and reference sources
Skill in the operation of postal equipment such as scales and related machinery
Skill in using personal computers and online systems to access and verify data
Ability to recognize errors and check with appropriate source for clarification of problems
Ability to communicate effectively with staff, students, and the public as necessary
Ability to perform routine arithmetic computations
Ability to collect data, keep accurate records, and prepare reports
Ability to organize and prioritize multiple tasks
General knowledge of printers
Ability to print and assemble large documents according to specific guidelines
Any combination of clerical experience or post high school education that totals one year, or equivalent training and experience from which comparable knowledge and abilities can be acquired
