Title: Administrative Support - NHC

Reports To: Purchasing/Admin Supervisor

Department: Napoleon Home Comfort

Location: 24 Napoleon Road Barrie, ON

Shift: Monday - Friday 8:30 AM - 5:00 PM

Job Purpose: The Administrative Support position primarily provides administrative support to the office as well as support for the retail group. The Administrative Support position ensures the open order and aged receivable reports are up to date and current. Also, they are to check their queues daily to push any approved orders through to the installation department and/or push back to originator for additional information. This position also involves helping facilitate events/shows along with attending the shows as needed.

Key Responsibilities:
  • Run the Open Order Report regularly to ensure it is kept up to date and accurate.
  • Run the Aged Receivables Report regularly to ensure is kept up to date and accurate.
  • Call customers regarding order pickup and payments.
  • Complete invoices and data entry for both Installation and Service departments.
  • Review the Install Order Approval queue and take necessary actions and/or distribute to appropriate parties.
  • Attending events/home shows when needed; represent the Napoleon Brand professionally at all times.
  • Provide support to the Purchasing Coordinator as needed.
  • Provide back-up support to reception for breaks/lunches and when required.
Education & Experience:
  • High School diploma, GED, or equivalent working experience
  • 1-2 years' administrative experience
  • Good working knowledge of Microsoft Office; must be comfortable with databases and running reports. Prior experience with SalesForce is considered an asset.
  • Strong organization skills and attention to detail
