High School diploma
Knowledge of medical terminology preferred
Proficiency in Microsoft Office Suite
1-2 years of working experience as a receptionist/clerk, preferably in a fast-paced hospital or clinic setting
Previous experience with WSIB insurance legislation and WSIB processes regarding rehabilitation an asset
Demonstrated accuracy and attention to detail
Advanced customer service skills
Ability to multi-task and prioritize work and customers
Ability to learn and apply computer software skills
Effective interpersonal, organizational and communication skills (both written and verbal)
Excellent organizational & time management skills
Ability to work independently without supervision
Evidence of satisfactory attendance record

Should be aware of conditions and measures that may affect the safety of patients, residents, students, employees, volunteers, physicians and visitors
Answers and directs telephone calls. Document all phone calls in proper patient electronic record.
Receives referrals electronically from OWN software. Creates electronic patient file in multiple integral electronic systems (EPR, scheduling/billing software,, and private drive); including using the OWN file naming convention.
Places call to workers to book Assessments, follow-ups, and/or specialty consults at West Park, as needed. Calls WSIB Case Managers/Nurse Consultants/Return to Work Specialists (if not able to contact worker), enters information into log notes in West Park and OWN software platforms including any unusual circumstances regarding worker’s assessment.Repeat calls are required. Booking translation services as required for assessment, follow-up and treatment.
Participate in continuous learning and process enhancement through weekly OWN Partnership clerical rounds.
Receives appointment cards from clinicians and books appointments based on clinical recommendations. Encourages worker to keep schedule and speaks to clinicians before making any changes to the worker’s appointment schedule.
Blocks off appropriate reporting time based on the assessment, follow-up, and treatment reporting requirements
Assemble client files and determine which files are still active or closed
File loose documents in client filesand scan client files into either active room or closed room and physically or electronically file them in the appropriate room
Provide administrative support with Consents/Questionnaires and Photo IDs, as per WSIB requirements
Scanning paper copy consents/questionnaires and reports into the electronic records and naming the files according to the OWN naming convention
Faxes comprehensive assessment, follow-up, and consultation reports to the worker’s family doctor.
Other duties as assigned.
