Executive Assistant
Full-time | Calgary, AB | Annual salary: $60,000–$80,000
About the Role
Core Auto Group is seeking an Executive Assistant to provide high-level administrative, financial, and operational support at the ownership level. The role also extends to several other businesses in which ownership holds interests. This position combines executive support, business administration, and hands-on accounting work, along with some coordination of personal and property-related logistics. It requires absolute discretion, high autonomy, and strong professional boundaries.
Key Responsibilities
Executive & Administrative Support
Provide high-level executive support, including calendar management, meeting coordination, correspondence, and follow-up
Act as a trusted point of contact between leadership, internal teams, clients, vendors, and external partners
Prepare, edit, and organize documents, reports, presentations, spreadsheets, and business communications
Coordinate travel and business-related logistics as needed
Support special projects by tracking deadlines, organizing information, and ensuring timely completion of action items
Build and maintain organized digital and physical filing systems for business, administrative, and financial records
Manage all confidential information with professionalism, accuracy, and discretion
Accounting & Financial Support
Assist with basic bookkeeping, invoice processing, accounts payable, accounts receivable, and payment tracking
Record, organize, and reconcile expenses, receipts, credit card statements, and vendor documents
Prepare financial summaries, reports, and spreadsheets for review
Work with QuickBooks and internal systems to maintain accurate financial records
Coordinate with accountants, vendors, and service providers as needed
Organize tax documentation for internal or external accounting teams
Personal & Property Support
Coordinate maintenance, tenant communication, and logistics for select real estate assets held by the business owners
Manage complex calendars balancing business and personal commitments
Coordinate personal errands, home management tasks, and family logistics as needed
Qualifications
Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, Accounting Assistant, Bookkeeper, or similar role
Strong accounting knowledge, including comfort with bookkeeping (QuickBooks), reconciliations, invoicing, and financial recordkeeping
Proficiency with Microsoft Office, including Word and advanced-level Excel
Excellent written and verbal communication skills
Strong attention to detail, time management, organization, and follow-through
High level of discretion, professionalism, integrity, and confidentiality
Post-secondary education in business administration, accounting, bookkeeping, or a related field is an asset
