Royal Botanical Gardens is the largest botanical garden in Canada and one of the largest in the world. With over 2,700 acres of cultivated gardens and nature preserves, it is also one of the biggest urban nature sanctuaries and marshland restoration sites in North America. With its extraordinary land holdings, breathtaking landscapes, biodiversity, collections, facilities, educational and conservation programs, RBG is a top-rated regional tourist attraction and a global leader in its sector The Special Events Student is responsible for ensuring all Royal Botanical Gardens special events are executed as mandated by the Special Events Manager.
The Special Events Student will prepare for and attend events representing RBG in a responsible manner in keeping with the RBG mission. The Special Events Student will take direction from the Special Event Manager to assist with planning, coordinating and executing on-site events hosted by RBG. This could include, but is not limited to, soliciting vendors, entertainment and artists for various events, organizing and delivering site plans, and liaising with contractors, community groups and internal stakeholders. Candidate must be able to work evenings, weekends and holidays.
Attendance at on site special events representing RBG
Coordinate, plan, implement, and promote all aspects of special events
Provide value-added, mission appropriate content in conjunction with various RBG departments
Ensure marketing materials and supplies are kept in clean and good working order
Liaise and consult with inside staff, as well as outside community groups, agencies, municipalities and businesses
Secure and liaise with vendors and contractors regularly
Various other duties as assigned by the Special Event Manager
Currently attending post-secondary school focusing on an undergraduate degree in events, hospitality or public relations
Some experience planning special events for large crowds
Some volunteer supervisory experience
Excellent communication and presentation skills
Excellent customer service skills
Working knowledge of MS Office is required.
Previous experience in office administration is preferred
Experience in generating summary reports and creating queries
Ability to multitask, meet tight deadlines and make appropriate decisions when challenged
Must be responsible, mature and an enthusiastic team player
Must have excellent organizational and time management skills
Strict attention to detail
Experience working in a unionized environment
Standard First Aid and/or CPR certification preferred
Must possess a valid Class G drivers license
Smart Serve Certification is an asset
A satisfactory Police Record Check will be required of the successful applicant, at their expense
