Job Summary:
The Marketing & Food Label Admin is responsible for reviewing, creating, and maintaining regulatory information (product specifications, labels, nutritional, and allergen information). This person acts as the guardian of product accuracy, ensuring that all packaging, ingredient lists, and marketing claims comply with legal standards. Specializing in bridging administrative operations and regulatory compliance, Proofreading and handling of artwork.
Key Responsibilities (Including but not limited to):
Food Label Administration /Reviewer and Regulatory Compliance
- Label Review and Approval: Analyze and proof new packaging and labels at all design stages to ensure accuracy of grammar, ingredients, nutrition facts, allergen declarations and claims.
- Verify that ingredient lists are in descending order by weight, allergens are properly declared, and marketing claims (e.g., "Organic", "Low in Fat", "Product of Canada") are substantiated.
- Coordination and Workflow: Manage the label lifecycle, including creation, revision, and release, ensuring adherence to internal and regulatory guidelines.
- Work with cross-functional teams such as Quality Assurance, Marketing, and Operations to manage timelines and resolve discrepancies.
- Regulatory Compliance: Ensure all labels comply with relevant regulatory agencies (CFIA & FDA). Work with Internal Compliance
- Analyzing product formulas to ensure they adhere to standards of identity (e.g., ensuring a product labeled "ice cream" meets required cream percentages).
- Database Management: Maintain labeling software (e.g., Genesis, ESHA) and input accurate manufacturer specifications. As well as, managing digital label files.
- Ingredient Updates: Update nutritional formulations and ingredient lists when R&D changes a recipe or a supplier changes a raw material.
- Customer Templates: Manage customer-specific label templates and web portals for specification entries.
- Translation Coordination: When required, coordinate with translators to ensure English and French labels are accurate and compliant.
Marketing Administration and Data Management
- Document Control: Maintain critical product documents according to company requirements (specifications, ingredient statements).
- Data Entry: Manage product data and verify that labeling is properly done.
- Cross-Functional Collaboration: Collaborate with Quality Assurance, Research and Development, and Purchasing departments to ensure specifications are complete and accurate.
- Administrative: cross trained to be backup for listing forms and customer platforms. As well as assist in day-to-day operations
- Vendor Communication: Liaise with suppliers to obtain required nutritional information and certifications.
Required Qualifications
- Education: Knowledge of CFIA & FDA an asset
- Language: Must speak and communicate well in English. French an asset.
- Experience: 2-5 years experience in food labeling within a food production environment.
- Technical Skills: Proficiency in MS Office (Excel, Word) and experience with nutritional labeling software (e.g., Genesis R&D).
- Regulatory Knowledge: Familiarity with Food and Drugs Act, Consumer Packaging and Labeling Act, and other industry regulations.
- Skills: High level of accuracy to avoid mislabeling, which can have significant legal repercussions. Strong attention to detail and excellent organizational skills.
- Communication: Strong verbal and written communication skills to liaise between technical and non-technical teams.
- Organization: Ability to manage multiple projects, such as reviewing packaging for several product lines simultaneously.
