Job Title: Dental Office Supervisor
Location: Don River Dental Clinic,1396 Don Mills Rd. B107, North York, ON M3B 3N1.
Overview: We are seeking a competent and experienced Dental Office Supervisor to oversee the daily operations of our dental practice. The Dental Office Supervisor will be responsible for managing staff, coordinating patient scheduling, ensuring efficient office workflow, and handling administrative duties. This role requires strong organizational skills, leadership abilities, and a thorough understanding of dental office procedures.
Responsibilities:
- Supervise and manage dental office staff, including receptionists, dental assistants, and hygienists.
- Schedule clinical and office staff.
- Ensure smooth daily operations of the dental office, including optimizing patient scheduling, check-in, and check-out processes.
- Oversee patient records management and ensure compliance with patient confidentiality regulations.
- Coordinate with dental providers to optimize patient scheduling and treatment planning.
- Handle patient inquiries and concerns in a professional and courteous manner.
- Assist in the recruitment, interviewing and onboarding of new staff.
- Train new office staff and conduct regular performance evaluations.
- Implement and enforce office policies and procedures to maintain a safe and efficient working environment.
- Manage billing and insurance claims processing, ensuring accuracy and timeliness.
- Assist with marketing and promotional activities to attract new patients and maintain patient retention.
- Oversee and adhere to IPAC safety regulations, conducting monthly Health and Safety inspections.
- Monitor equipment and ensure that all equipment and instruments are in good repair.
- Host regular coaching and development sessions with direct reports
- Build patient/employee relationships through ongoing dialogue and resolving any escalated patient/employee issues promptly.
- Responsible for the organization and coordination of office supplies, deliveries, petty cash, etc.
- Manage the day to day finances by reviewing and processing accounts receivable (AR). Strong AR knowledge and experience is a huge asset.
- Efficient at problem solving and critical thinking.
Qualifications:
- 2+ years of dental administration experience
- Flexible schedule. This is not a 9am-5pm position. Our clinics are open 6-days a week, and until 8pm on weekdays.
- Demonstrated the ability to manage multiple priorities.
- Experience maintaining a professional level of patient/employee privacy.
- Excellent knowledge of dental office procedures, including billing, insurance claims, and patient scheduling.
- Strong leadership and managerial skills with the ability to motivate and mentor staff.
- Exceptional organizational and multitasking abilities.
- Excellent interpersonal and communication skills.
- Proficiency in dental office software (we use Curve).
- Knowledge of IPAC regulations and patient privacy best practices.
- Post- Secondary education with a focus in the dentistry field is a plus.
