The Role
We are seeking an Operations & Client Coordinator to run the administrative and logistical side of our business. In this role, you will manage shop communications, maintain master schedules, and serve as a point of contact for our clients.
This goes beyond routine secretarial work—we are looking for a proactive operational partner who will make sound decisions, streamline daily operations, and take true ownership of workflow logistics once fully onboarded.
Key Responsibilities
- Communication & Calendar Management: Establish and maintain daily email and schedule. Resolve low-priority tasks autonomously while immediately escalating urgent or high-value matters to the owner. Ensure important long-term tasks are scheduled and completed on time.
- Production & Order Tracking: Track custom furniture and cabinetry projects seamlessly from initial quote through final delivery. Maintain the master job board and calendar, monitoring material lead times, build slots, and installation dates. Identify potential scheduling conflicts early and coordinate solutions proactively. Work directly with the owner to evaluate shop capacity and workload balancing.
- Client Relations & Service: Serve as a professional contact for client updates regarding order status, production timelines, and general inquiries. Set and maintain clear, accurate expectations regarding delivery dates.
- Systems & Administration: Keep digital project files, estimates, and customer records structured and easily accessible. Build simple, repeatable operational processes to reduce reliance on informal communication. Identify workflow bottlenecks and suggest practical solutions to improve daily efficiency. Assist on-site with light shop coordination (e.g., receiving deliveries, organizing products, updating the showroom) as needed.
Qualifications
- Experience: 2+ years in an administrative, coordinator, or office management role (experience in trades, contracting, custom manufacturing, or design-build environments strongly preferred).
- Communication: Exceptional written and verbal skills with a clean, professional customer-facing tone.
- Technical Skills: Proficient with email platforms, digital calendar tools, and spreadsheets (Google Workspace); adaptability to learn specific shop management software.
- Attributes: Demonstrated attention to detail, strong organizational skills, sound judgment, and the confidence to ask questions when unsure rather than guess.
Bonus Points
- Hands-on experience scheduling jobs, materials, or production lines in a trade or manufacturing setting.
- Proficient on Canva or similar graphic design programs.
- Familiarity with Squarespace, basic website updates, or social media management.
What Success Looks Like in 90 Days
- Managing communication and calendar systems independently using our priority framework.
- Maintaining an accurate, trusted job board as the shop's single source of truth.
- Resolving routine customer inquiries autonomously without requiring owner intervention.
- Measurably reducing owner administrative workload, allowing dedicated focus on production and sales.
Compensation & Schedule
- Pay: $41,600-$52,000 annually ($20.00-$25.00/hour), commensurate with experience.
- Hours: Full-time, Monday through Friday (standard shop hours, e.g., 8:30 AM - 5:00 PM, with flexibility).
