Our business is a small, progressive planning, urban design and landscape architecture firm located in Toronto’s west end, in a highly transit-accessible location (short walking distance to TTC Subway and other transit services). Our work is throughout the GTA, central, southern and eastern Ontario.
We are seeking a Bookkeeper and office administrator to support the firm’s professional consulting services. The successful candidate will work closely with the President and Treasurer, and their primary tasks shall include:
- Preparing monthly invoices using Harvest;
- Maintaining QuickBooks entries as well as preparing payroll, payroll deductions, printing cheques, and bill payments; and
- Providing information as required to our external accountant.
As we are a small firm, we are also looking for this individual to support with other administrative tasks, including:
- Managing the administration of project files including the set-up of new projects and archiving completed projects;
- Managing the library;
- Maintaining project database including project descriptions for proposals;
- Maintaining the contact database;
- Ensuring office and kitchen supplies are available as needed; and
- Ensuring the office space is kept organized and tidy.
The successful candidate will possess the following skills:
- Demonstrated experience as a Bookkeeper;
- experience preparing and sending invoices;
- advanced knowledge of QuickBooks Online;
- knowledge of Harvest is helpful;
- strong computer skills including Microsoft Office;
- advanced organizational and time management skills;
- file management expertise; and
- self-starter who conducts and carries out tasks with little supervision and is confident and able to undertake their responsibilities.

Pay: $50,000.00-$60,000.00 per year
