In this role, you will:
Act as the principal contact with the Department of National Defence (DND) Class Desk by:
Coordinating status reporting and management of Victoria In-Service Support Contract (VISSC) proposals, deliverables and all VISSC project Contract Data Requirements List (CDRLs)
Fostering an effective working relationship with Class Desk and Maritime Equipment Program Management (MEPM) to maintain effective communications between Babcock and CANADA
Coordinating meetings required for VISSC including scheduling; creation and distribution of agendas, minutes, action lists, and presentation material; coordinating catering and venue preparations
Liaising with Project Managers, Program Managers, and various departments within the company on VISSC matters, supporting communication flow within the Sustainment Project Management team and to other Babcock related organisations
Assist the Director, Sustainment with program related activities by:
Overseeing Risk related tasks and updates to the Corporate Governance Risk (CGR) Tool.
Managing the Customer Feedback process
Tracking Babcock performance and managing closure of actions against Performance Assessment Form (PAFs)
Providing ad-hoc back-up support to the Sustainment Project Coordinator, in the daily management of the positional mailbox and its required duties
Providing ad-hoc support to Document Control in the daily processing of access requests and SharePoint troubleshooting
Maintaining an organized system of physical and digital records for CDRLs to meet agreed delivery dates
Monitoring CDRL progress and delivery via Primavera P6, in collaboration with the Sustainment Project Scheduler
Assist with financial reporting by:
Working with Cost Control to coordinate the submission of the three, monthly claims to DND and Public Services and Procurement Canada (PSPC)
Assist with continuous improvement initiatives by:
Supporting and guiding the Sustainment team to be customer-focused and providing a professional, consistent experience. This can include promoting accountability, as well as identifying and removing blockers to effective communication
Continuing to identify ways to improve performance, efficiency, and efficacy across the program based on metrics and customer feedback
Provide additional support to the wider Sustainment team by:
Coordinating team events as required
Undertaking other duties as deemed necessary and reasonable
The ideal candidate brings:
Post-secondary education in Administration, Commerce, Business, or Project Management
Experience in project coordination or program coordination roles
Skills in managing and coordinating multiple tasks at the same time with the follow-through to see a task through to completion
Excellent interpersonal and rapport building skills and you have previous experience in project or program coordination or operations management
Exceptional skills in self-driven work as well as driving and motivating others to perform to targets
Full capability to adapt and adjust to changing priorities
Fully conversant skills in the use of Microsoft Products
Familiarity with the DND or the Defence Industry in Canada is an asset
Proof that you are fully vaccinated against COVID-19, meaning that you must have received the full series of a COVID-19 vaccine approved by the Government of Canada with the final dose at least 14 days prior to your start date as well as any COVID boosters recommended by public health authorities
You are eligible for a Canadian Secret Security and ITAR Clearance
