About the Role
The Customer Experience & Showroom Host is responsible for overseeing the front-of-house experience and ensuring every guest receives a warm, professional welcome.
This role serves as the central hub of customer flow throughout the dealership, helping guests navigate their visit while supporting various administrative and operational functions.
Success in this position comes from exceptional hospitality, professionalism, attention to detail, and the ability to create confidence and comfort for every customer interaction.
What You'll Do
Customer Experience & Guest Services
- Welcome every guest entering the dealership with professionalism and enthusiasm.
- Take ownership of the customer greeting experience and guide guests to the appropriate department.
- Create a positive and memorable first impression for every visitor.
- Manage customer flow and ensure guests never feel lost or uncertain during their visit.
- Support customer satisfaction initiatives and identify opportunities to enhance the overall experience.
- Assist with customer concerns by ensuring issues are acknowledged promptly and directed to the appropriate leadership team.
Communication & Phone Management
- Professionally answer and direct incoming calls through a multi-line switchboard.
- Transfer calls efficiently and accurately.
- Record and relay messages in a timely manner.
- Maintain a calm, professional, and welcoming communication style at all times.
- Track incoming and missed calls as required.
Showroom & Hospitality Experience
- Maintain a welcoming, organized, and guest-ready showroom environment.
- Ensure customer lounges, waiting areas, and front entryways remain clean, comfortable, and inviting.
- Maintain coffee stations, refreshments, and hospitality amenities.
- Prepare fresh popcorn and maintain hospitality stations throughout the day.
- Monitor televisions and customer-facing displays.
- Take pride in ensuring the dealership always presents its best image.
Administrative Support
- Manage key control systems and vehicle key organization.
- Maintain dealership logs, spreadsheets, and tracking reports.
- Process and track gas chits, dealer plates, registrations, and related documentation.
- Support office organization, filing, and document management.
- Complete reception opening and closing procedures.
- Perform daily cash balancing and till counts.
- Manage office supply inventory and ordering.
- Train reception relief personnel when required.
- Assist with dealership events, promotions, and community initiatives.
Continuous Improvement
- Understand customer satisfaction drivers and dealership service standards.
- Monitor customer traffic flow and identify recurring trends or opportunities.
- Communicate observations and recommendations to management.
- Contribute to creating an efficient, welcoming, and customer-focused dealership culture.
What We're Looking For
Preferred Experience
- Strong communication and interpersonal skills.
- Professional phone etiquette.
- Exceptional organizational and multitasking abilities.
- Strong computer proficiency including Microsoft Office and Google Workspace.
- Ability to remain composed and professional during busy periods.
- PBS Dealership Systems – would be an asset
