Job Summary:
Reporting to the Finance Manager, the Parent Accounts Administrator is responsible for the administration of parent accounts, attendance reporting, data management, statistical reporting, and financial (AR) support functions. The position plays a key role in ensuring the accuracy, integrity, and timeliness of financial, attendance, enrollment, and operational information used to support organizational planning, reporting, funding requirements, and decision-making.
The Parent Accounts Administrator maintains parent accounts, prepares invoices and statements, manages collections, reconciles attendance and financial data, and produces regular reports. The position also provides confidential administrative support to the Executive Director and Finance Manager as required.
Key Responsibilities:
- Maintain accurate parent account records, including fees, payments, subsidies, attendance records, and supporting documentation.
- Prepare and distribute parent statements and invoices.
- Receive, record, and reconcile parent payments.
- Maintain databases, spreadsheets, workbooks, and tracking systems.
- Prepare and reconcile billing reports, invoices, statistical reports, and operational reports.
- Compile, analyze, and maintain statistical information to support planning and decision-making
- Ensure all records are accurate, complete, confidential, and up to date.
- Office support, work collaboratively with team, providing coverage for absences
- Positive communication using a client focused approach
Education & Experience:
- Post-secondary diploma or degree in Accounting, Finance, Business Administration, Office Administration, Data Management, or a related field
- Minimum two to three years of experience in accounts receivable, bookkeeping, data management or a related role.
- Experience with collections, customer accounts, and financial reporting is preferred
- Experience in a non-profit organization, child care, education, or community services environment is considered an asset.
- Current certification in Standard First Aid and CPR Level C
- Clear Vulnerable Persons Screening / Criminal Reference Check
