Finance & Operations Manager
Finance | Supply Chain | Inventory | HR Administration
Casualife Outdoor Living
$75,000–$90,000 per year | Full-Time | Permanent | Salaried
Casualife Outdoor Living, a leading luxury outdoor furniture retailer with multiple Ontario locations, is looking for an experienced Finance & Operations Manager to join our team.
This is a hands-on position combining finance and accounting, purchasing and supply chain, inventory management, business systems and HR administration.
We're looking for someone who goes beyond completing tasks and producing reports. You identify discrepancies, investigate why they happened, resolve them and put better processes in place to prevent them from happening again.
This position works closely with ownership and is ideal for someone who is analytical, highly organized, commercially minded and comfortable taking ownership.
A Unique Seasonal Schedule
Casualife is a highly seasonal business, and our full-time salaried positions are structured around our annual business cycle.
Our busiest period is April through July, when greater availability and additional hours are required.
In exchange, you'll enjoy reduced hours and significantly greater flexibility during our quieter fall and winter months, including an annual company shutdown of approximately four weeks from mid-December through mid-January.
This offers a unique balance: greater commitment during our busy season combined with substantial flexibility and time away from work during the off-season — while remaining in a full-time, year-round salaried position.
What You'll Do
Finance & Reporting
- Manage payroll, accounts payable and accounts receivable
- Complete daily bank reconciliations
- Review AR weekly/bi-weekly and investigate outstanding or incorrectly processed invoices
- Ensure receivables and unclosed transactions are properly followed through
- Produce financial and operational reporting for management
- Identify discrepancies and resolve their underlying cause
- Review expenses and proactively identify cost-saving opportunities
- Assist with budgeting, forecasting and financial analysis
- Strengthen financial controls and reporting processes
Purchasing, Supply Chain & Inventory
- Place and manage purchase orders with domestic and international manufacturers
- Track outstanding orders and expected delivery dates
- Coordinate freight, customs, shipping and documentation
- Communicate with manufacturers, freight companies and customs brokers
- Resolve pricing, freight, shortage, damage and shipping discrepancies
- Assist in developing seasonal and annual buy plans
- Analyze historical sales and inventory to support purchasing decisions
- Maintain accurate vendor pricing, product costing and retail pricing
- Analyze product sales and inventory movement
- Identify best sellers, slow-moving and aging inventory, and replenishment needs
- Investigate inventory discrepancies
- Coordinate and oversee the company's annual physical inventory
Systems & Process Improvement
- Become highly proficient in Windward, our current POS/business management system
- Improve how we utilize financial, purchasing, reporting and inventory systems
- Identify manual processes that can be streamlined or automated
- Develop standardized processes and checkpoints across the business
- Assist in evaluating and potentially implementing a new POS/ERP system if required
HR Administration
- Manage employment contracts and employee documentation
- Coordinate hiring and onboarding administration
- Maintain employee and compliance records
- Standardize Casualife contracts, forms and HR documentation
- Track salaries, hourly wages, commissions and compensation changes
- Assist ownership in developing consistent compensation structures across teams
- Maintain attendance, vacation and employee-hours reporting
Who We're Looking For
You don't simply notice that something doesn't balance — you want to know why.
You don't just produce a report showing an invoice has been open for three months — you investigate it and get it resolved.
If the same error keeps happening, you develop a better process.
If you identify unnecessary costs, you bring forward a solution.
Most importantly, you take ownership and follow things through to completion.
What You'll Bring
- Strong accounting, bookkeeping or financial administration experience
- Strong knowledge of AP, AR, payroll and bank reconciliations
- Experience in an inventory-based business
- Retail, wholesale, distribution or manufacturing experience strongly preferred
- Purchasing, supply chain and/or inventory management experience
- Strong Excel and reporting skills
- Experience with POS, ERP, accounting or inventory systems
- Strong analytical and problem-solving abilities
- Exceptional organization and attention to detail
- Strong communication and follow-through
- Ability to work independently and manage multiple priorities
- Product costing/margin analysis experience is an asset
- HR administration experience is an asset
You'll Be a Great Fit If You Are
Analytical. Proactive. Organized. Cost-conscious. Systems-minded. Accountable.
You're comfortable questioning numbers that don't make sense, improving processes that aren't working and working independently without needing constant direction.
Most importantly, you're someone who finishes what you start.
