Administrative Assistant
We are excited to partner with a dynamic security and safety company in Winnipeg, Manitoba, to help find a skilled Administrative Assistant to join their expanding team. In this role, you will be reporting to the Controller and leadership team, supporting various departments.
The ideal candidate will be a proactive multi-tasker with excellent communication skills, capable of managing day-to-day administrative tasks, coordinating between departments, and assisting in various business functions. Responsibilities
· Provide ongoing administrative support to the leadership team;
· Prepare, organize, and maintain records, including filing, data entry, and tracking project documentation;
· Assisting with the accounting department with various different tasks, including accounts receivable, accounts payable, bank reconciliations, and credit card reconciliations;
· Daily recording and depositing of cheque payments from customers;
· Semi-monthly recording of credit card and auto-debit payments from customers;
· Communicating with customers via email and phone calls regarding payments, inquiries, and billing account contact information;
· Reviewing accounts receivable reports and following up with customers on outstanding balances, declined transactions, and expiring credit cards;
· Reviewing and entering bills from suppliers and subcontractors with supporting purchase order and job costing documents;
· Recording credit card charges with supporting documents or prior history;
· Organize company breakfast and lunches as requested by management;
· Management of event planning including corporate meetings, holiday events, conferences, etc.;
· Prepare and edit correspondence and documents;
· Undertaking other administrative tasks, special project and duties as required.
Required Skills and Experience
· Minimum of 2 years of administrative experience, preferably supporting multiple departments;
· Post-secondary education would be an asset;
· Experience with accounting, CRM or project management software would be considered an asset;
· Proficiency with Microsoft Excel and all Microsoft Suite programs;
· Strong attention to detail and a high level of accuracy in all areas of work;
· Strong written and oral communication skills, including excellent typing skills;
· Strong work ethic with the abilities to multi-task, prioritize tasks, and stay organized;
· Ability to work fully onsite;
· Ability to pass a Criminal Record Check.
