This role is best suited for someone who genuinely enjoys helping people, building relationships, staying organized, and creating a positive client experience. The successful candidate will play an important role in supporting clients, assisting with day-to-day office operations, and helping the team identify opportunities to better serve clients.
Although this is primarily a customer service role, there will also be expectations to recognize client needs, ask thoughtful questions, introduce additional products or services when appropriate, and book appointments for the sales team. This is not a high-pressure sales role, but the ideal candidate should be comfortable having natural conversations with clients and working toward service-related goals or expectations.
What You’ll Do
Responsibilities include, but are not limited to:
- Greet clients and provide a welcoming, professional experience
- Answer incoming phone calls, take messages, and direct inquiries appropriately
- Assist with client policy reviews, policy changes, billing questions, and claims follow-up
- Support clients by asking thoughtful questions and identifying where they may benefit from additional products or services
- Book appointments for clients with the appropriate team member
- Support the sales team through client follow-up, appointment setting, and service-based conversations
- Process payments and assist with basic administrative tasks
- Prepare and send thank-you cards and client communications
- Handle incoming and outgoing mail
- Support marketing initiatives and general office duties as needed
- Maintain accurate client records and follow office procedures
What We’re Looking For
The ideal candidate will be:
- Friendly, patient, and professional
- Comfortable speaking with clients by phone and in person
- Customer service focused, with strong communication and listening skills
- Warm, caring, and able to build trust with clients
- Organized, detail-oriented, and able to manage multiple priorities
- Calm, steady, and able to work well with different personalities
- A team player who helps create a positive and respectful office environment
- Comfortable asking questions, identifying client needs, and booking appointments
- Open to working toward goals or expectations related to client follow-up and appointment setting
- Reliable and comfortable working in a full-time, in-office role
- Willing to obtain an OTL licence before starting employment
- Positive, team-oriented, and eager to learn
This role would be a strong fit for someone who is naturally patient, personable, organized, caring, and professional. The right person will enjoy being part of a team, helping clients feel supported, and contributing to a calm and positive office environment.
Previous insurance experience is considered an asset, but strong customer service experience and a willingness to learn are also highly valued.
