Job Summary:
We are seeking a proactive, adaptable, and detail-oriented Administrative / Executive Assistant to join our team. In this part-time role (~20 hours/week), you will provide comprehensive support to our broader management team, ensuring the smooth day-to-day operations of our business. While this role is primarily remote, the successful candidate must be located in Edmonton to run local errands, manage office supplies, and fulfill occasional in-person duties.
Key Responsibilities:
- Management Support & Coordination: Act as the primary support for the broader management team, managing schedules, coordinating meetings, and keeping projects organized.
- "Jack of All Trades" Administration: Handle a diverse array of daily operational tasks including light human resources (HR) administration and light payroll duties (Note: formal bookkeeping and accounting are not required).
- Communications & Document Management: Draft, review, and edit professional correspondence. Maintain digital filing systems and ensure all documents meet company formatting and quality standards.
- Project Administration: Support ongoing projects by assisting with invoicing processes, coordinating project-related communications, and keeping project documents and files structured and organized.
- Local Office Management: Run local errands, procure and manage office supplies, handle physical mail, and ensure any local logistical needs are met.
- General Support: Process expense reports, coordinate travel arrangements, and assist the management team with special projects as assigned.
Qualifications & Skills:
- Proven experience in an administrative, executive support, or office management role.
- A true generalist mentality: highly adaptable, resourceful, and willing to tackle a wide variety of administrative and HR/payroll-adjacent tasks.
- Exceptional written and verbal communication skills.
- Strong organizational and time-management skills with the ability to prioritize tasks independently in a remote environment.
- High level of accuracy, attention to detail, and a problem-solving mindset.
- Must be located in Edmonton, AB, with the ability to travel locally for errands and supplies.
- No specific proprietary software experience is required, but general computer proficiency and the ability to learn new tools quickly are essential.
What We Offer:
- Compensation: $25.00 – $35.00 per hour
