Job Summary
Dr. Kassem's Office is seeking a professional, organized, and compassionate Medical Office Assistant (MOA) to join our busy family practice clinic in Dundas, Hamilton. The successful candidate will serve as the first point of contact for patients and will be responsible for providing administrative and clerical support to ensure the efficient operation of the clinic.
Key responsibilities include greeting patients, answering and directing phone calls, scheduling appointments, managing electronic medical records (EMR), processing referrals and diagnostic requisitions, handling incoming and outgoing correspondence, and maintaining patient confidentiality in accordance with privacy regulations.
The ideal candidate will possess excellent communication and organizational skills, strong attention to detail, proficiency with computer systems, and the ability to multitask in a fast-paced healthcare environment. Previous experience in a medical office and familiarity with EMR ( PS suite) systems are considered assets.
Duties
- Greet patients and visitors in a professional and friendly manner at the front desk
- Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages
- Maintain accurate electronic medical records using systems.
- Verify patient insurance information and process billing or payments as needed
- Assist with patient check-in and check-out procedures, ensuring all necessary documentation is completed
- Coordinate appointment scheduling.
- Handle administrative tasks including data entry, filing, and correspondence
- Support clinical staff by preparing patient charts and ensuring compliance with privacy regulations
- Manage office supplies inventory and ensure the cleanliness of the reception area
Qualifications
- Prior experience as Medical Office Assistant preferred
- Proficiency with Electronic Medical Records (EMR) PS suite
- Demonstrated experience in office administration, including multi-line phone systems and front desk operations
- Excellent organizational skills with attention to detail
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Strong communication skills, both verbal and written
- Previous experience working in a healthcare setting is highly desirable
- Familiarity with medical office workflows and procedures is preferred
