Receptionist/Front Desk Coordinator at DermaLux Medical Aesthetics

DermaLux Medical Aesthetics is a Medical Spa located in Sherwood Park, Alberta. We were founded in 2018 and have vastly grown since. Most recently we moved into our brand-new clinic in Sherwood Park, and we are looking to expand our team.
If you are a motivated individual with a positive attitude that loves working in a team environment, we would love to hear from you. We are looking to hire a full-time and part-time receptionist to be part of our dynamic team of skilled and experienced medical aesthetic professionals.
As a receptionist, you’re the heartbeat of our clinic and the first impression when clients walk through our door. The ideal candidate(s) should possess excellent customer service and communication abilities and be able to work in a fast-paced environment.
Employment Type:
- Full-Time (35 – 40 hours a week)
Schedule:
- 6 - 8 hour shifts (flexibility with shifts depending on employment type)
- Shifts will vary from Monday – Sunday (days, evenings, and weekends)
Pay:
- $18.00 - $23.00 hourly – wages will be based on experience

Qualifications/Education/Experience:
- Criminal record check with no prior felonies
- High school diploma
- 1+ years’ experience as a receptionist preferably with a medical spa or spa background
Administrative Responsibilities:
- Booking, scheduling, and confirming appointments through various communication methods including phone, email, and text.
- Basic office duties: printing forms, copying, mailing, office supply runs/drop-offs etc.
- Opening/closing duties of clinic: light cleaning, stocking of products/supplies, taking inventory
- Processing client transactions
- Answering phones and emails
- Coordinating client appointments with service providers
Hospitality Responsibilities:
- Creating a positive hospital environment for clients, greeting clients upon arrival, checking in clients, taking their information, providing client consultation forms, escorting them to the waiting room and/or treatment rooms, making clients feel comfortable and welcome.
- Always providing excellent customer service by aiding with client needs and questions.
- Politely resolving client conflicts.
- Maintaining a high level of professionalism.
Other Duties & Responsibilities:
- Participating in content creation days.
- Posting on social media platforms, responding to client inquires and treatment follow ups via email, text, phone calls.
- Participating in continuing education seminars inside clinic and outside the clinic.
Key Skillset & Experience:
- Experience in the customer service industry and/or medical spas.
- Experience using electronic scheduling applications (i.e., Jane, Aesthetic Record), comfortable with computers programs (Apple, Microsoft Word, Canva), and social media platforms.
- General knowledge and skills of using computer programs, electronics, printers, and photo copiers.
- Knowledge of our services and products to provide clients with information and to answer client questions.
- Expectational and articulate verbal/written communication skills.
- Willingness to be flexible with availability and to be asked to preform jobs out of normal receptionist duties.
- An attention to detail, time management, and ability to prioritize tasks.
- Ability to maintain confidentiality and ethical standards regarding personal and sensitive client information.
The ideal candidate is self-motivated, works well independently and as part of a dynamic/collaborative team in a fast-paced environment. It is an asset to possess strong skills in verbal/written communication, work ethic, time management, customer service, and attention to detail. Pay: $18.00-$23.00 per hour
