The Administrative Assistant Role
We are seeking a diligent, organized and enthusiastic individual to join our team as an Investment Administrative Assistant. The primary focus of the Investment Administrative Assistant is to effectively facilitate the processing of mutual fund and segregated fund trades and providing comprehensive administrative support to ensure all tasks are processed accurately, compliantly, and in a timely manner, thereby maintaining service levels for advisors.
Key Responsibilities:
- Facilitate the processing of mutual funds, segregated funds, GICs and other investment products with Investia and insurance carriers, ensuring process protocols and service standards are consistently maintained.
- Assume ownership of assigned files and quality of data, including recognizing any urgencies and assisting in the resolution of problems that may prevent a file from moving through the process as quickly as possible.
- Track and follow-up on pending transfers with carriers.
- Follow up promptly with advisors on missing information, supporting documentation, information discrepancies, and unclear instructions.
- Effectively resolve any issues, questions or complaints as they pertain to investments.
- Establish and facilitate new client accounts within Univeris as well as the WealthServ Investment System.
- Manage incoming and outgoing Investments mail to ensure all service standards are met.
- Additional responsibilities, duties and special projects as identified.
- Schedule meetings for your assigned Advisor.
- Provide information by telephone and e-mail to our customers and distributors to meet their needs and expectations.
- Respond to a variety of inquiries that may include questions on procedures, products, banking transactions, follow-ups on pending applications, and tax and legal aspects.
- Provide support for the processing of various transactions, as required.
- Identify rules and procedures that need updating, and suggest improvements to streamline processes and increase efficiency.
- Share knowledge to contribute to the smooth running of the department.
- Contribute to the achievement of department objectives based on visual indicators and established protocols, and take action where necessary.
- Actively participate in weekly department meetings and contribute ideas for improvement.
Education, Experience and Skills:
- A minimum of 2 years experience in the investment industry.
- Being Mutual Fund licensed is a requirement for this position.
- Superior organizational and time management skills with demonstrated ability to effectively manage multiple tasks and responsibilities.
- Proven accuracy, attention to detail and data entry skills.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with a demonstrated ability to develop and maintain relationships and work within a team environment.
- Ability to represent self, office and organization in a professional, positive manner at all times.
- Ability to handle sensitive and confidential information in a professional manner.
- Knowledge of Univeris, WealthServ and Microsoft Office programs; Outlook, Word, Excel and PowerPoint in particular.
