Job Summary
We are seeking a detail-oriented and proactive Entry-Level Executive Assistant to support the General Manager in a dynamic, fast-paced environment. This full-time role offers an excellent opportunity for individuals interested in office administration, with a focus on organizational efficiency and effective communication. Responsibilities
- Manage and maintain the General Manager’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings and appointments efficiently.
- Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately.
- Perform data entry, filing, and document management to ensure accurate record-keeping and easy retrieval of information.
- Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record maintenance.
- Prepare correspondence, reports, and presentations with proficiency in Microsoft Office (Word, Excel, PowerPoint) and proofreading for accuracy.
- Support front desk operations by greeting visitors, managing mail distribution, and handling general administrative duties.
- Utilize DocuSign for electronic signatures on documents requiring approval or signatures from stakeholders.
- Coordinate meetings and events by managing schedules and preparing necessary materials while ensuring confidentiality.
- Provide exceptional customer service by addressing internal and external inquiries professionally and promptly.
Qualifications
- Prior office experience or clerical experience is preferred but not required; a strong willingness to learn is essential.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with Microsoft Outlook Calendar.
- Experience with QuickBooks for bookkeeping tasks is a plus.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Strong typing skills and attention to detail for data entry and proofreading tasks.
- Knowledge of multi-line phone systems and professional phone etiquette.
- Ability to handle confidential information discreetly and maintain professionalism at all times.
- Basic understanding of office procedures such as filing, document management, and front desk operations.

Pay: $50,103.66-$76,682.22 per year
