Parts & Warranty Administrative Assistant – HVAC
Gandy Installations is looking for a reliable, organized, and customer-focused Parts & Warranty Administrative Assistant to join our team.
This role is a great fit for someone who enjoys a busy office environment, is comfortable talking with customers and technicians, and takes pride in keeping details organized and moving smoothly. You do not need HVAC experience, but you should be willing to learn, ask questions, and follow through.

What You’ll Be Doing
In this role, you will support our service team by helping coordinate parts, warranty paperwork, supplier communication, and general administrative tasks.
Responsibilities include:
- Ordering and tracking parts from suppliers
- Providing purchase order information to technicians
- Helping coordinate parts pick-up and delivery when needed
- Assisting with warranty-related paperwork and follow-up
- Communicating with technicians, suppliers, customers, and office staff
- Supporting the Service Manager with administrative tasks
- Answering incoming calls and assisting customers in a professional and friendly manner
- Helping keep parts, paperwork, and information organized
- Staying calm and solution-focused when priorities shift during the day
About You
You are someone who is dependable, detail-oriented, and willing to jump in where needed. You enjoy helping people, staying organized, and being part of a team.
The ideal candidate will have:
- Strong communication and customer service skills
- Good attention to detail
- The ability to multitask and follow through
- A positive attitude and willingness to learn
- Comfort working in a fast-paced office environment
- Basic computer and administrative skills
- 1+ year of customer service or administrative experience
- A valid BC driver’s licence with a clean driving record
Previous experience with parts ordering, warranty administration, dispatch, service coordination, or HVAC would be an asset, but it is not required.

Wage: $21–$22 per hour, depending on experience
