We are currently seeking a highly motivated Project Coordinator to join our dynamic team. As a key member of the company, you will support project proposal, planning, administration, coordination, and execution activities for a variety of oil and gas consulting projects. Working closely with project managers, engineers, and clients, you will help ensure projects are delivered on schedule, within budget, and to the high quality standards.
Responsibilities:
1. Project Proposal and Business Development Support
· Prepare project proposals and quotations
· Maintain and manage project quotation records, tracking spreadsheets, and quotation folders
· Review project contracts and identify items requiring clarification or follow-up
· Assist with bid preparation and submission processes
2. Project Planning and Scheduling
· Assist in developing and maintaining project schedules
· Track project milestones, deliverables, and key deadlines
· Monitor project progress against schedules and provide updates during daily project meetings
· Coordinate and document project scope changes and schedule revisions
3. Project Documentation and Document Control
· Maintain project files, records, and documentation in accordance with company procedures
· Manage document revisions, reviews, and approval workflows
· Track incoming and outgoing client correspondence and project documents
· Ensure project deliverables are issued accurately, consistently, and on schedule
· Maintain organized records of project communications and documentation
4. Project Meeting Coordination
· Schedule and coordinate internal and client project meetings.
· Prepare meeting agendas and supporting materials
· Record meeting minutes and distribute them to stakeholders
· Track action items, decisions, and follow-up activities to ensure timely completion
5. Project Budget and Cost Tracking
· Monitor project budgets and expenditures
· Prepare and issue client invoices and track project-related expenses
· Assist with budget forecasting and financial reporting
· Prepare project budget status reports and cost tracking summaries
6. Project Resource Coordination
· Assist with resource planning and work assignments based on staff availability and project priorities
· Track workloads and resource utilization across project teams
· Coordinate resource requirements with discipline leads and project managers
· Monitor resource conflicts and scheduling constraints and recommend solutions
7. Client and Stakeholder Communication
· Serve as a primary point of contact for project logistics and coordination matters
· Coordinate client information requests and project communications
· Track and document client feedback and follow-up actions
· Foster effective communication among clients, project teams, and other stakeholders
8. Project Quality Management Support
· Verify that project deliverables comply with company standards, templates, and procedures
· Ensure required technical reviews and approvals are completed before issuance
· Track quality review comments and support resolution of outstanding items
· Assist with internal and external project audits and quality assurance activities
Requirements:
- College diploma or Bachelor's degree in Engineering, Business Administration, Project Management, Finance, or a related field
- Strong proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook
· Previous experience in project coordination, project administration, document control, or a related role is preferred
- Excellent verbal and written communication skills in both English and Mandarin
- Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines
- Highly detail-oriented, proactive, and committed to delivering high-quality work
- Self-motivated, dependable, and capable of working both independently and collaboratively in a team environment
- Strong interpersonal skills with the ability to communicate effectively with clients, vendors, and internal stakeholders
- Experience in financial administration, bookkeeping, or invoice processing is considered an asset
- Experience in engineering consulting, oil and gas, energy, or related industries is considered an asset
