Join the CHABOT team as a Part-Time Bookkeeper/Office Administrator. In this role, you will be a vital part of our front office operations, ensuring the smooth and efficient running of the office. This position involves managing data entry, payroll, and generating reports to provide insights into company operations. You will also participate in oversight of day-to-day financial operations and general bookkeeping functions.
Responsibilities & Duties:
- Reception Duties: Handling phone calls, emails, and customer interactions.
- Payroll Management: Managing payroll data using Payworks.
- Scheduling: Assisting with workforce crewing and scheduling.
- Accounts Receivable/Accounts Payable: Following up on delinquent accounts to facilitate prompt payment, processing subcontractor and supplier account transactions
- Data Entry & Record Keeping: Maintaining daily project totals, material spreadsheets, maintenance records, and shop hour summaries.
- Fleet Fuel Tracking: Monitoring and tracking fleet fuel usage.
- Report Generation: Producing reports on fuel updates, payroll recaps, accounts payable, and receivable updates.
- Cost Oversight: Routinely overseeing company costs and expenses, making suggestions to management on improvements.
- General Office Duties: Providing clerical and administrative support, filing records, collecting information, and drafting correspondence.
- Other Duties: As assigned by management.
Qualifications:
- 3+ years of proven bookkeeping experience.
- Professional, personable, and detail-oriented.
- Strong knowledge of bookkeeping/accounting procedures.
- Office administration and customer service skills.
- Familiarity with HR practices for hiring and onboarding.
- Ability to multi-task and prioritize effectively.
- Proficient in Simply Accounting, Microsoft Word, Excel, and Outlook.
- Organized, efficient, and a team player.
- Willing to take on challenges with a proactive, positive attitude.
Work Schedule:
- This is a part-time, permanent position with potential for full time
- The work schedule is flexible, with shifts available between Monday to Friday, from 8:30 AM to 5:00 PM.
- Reliable transportation is required, as public transportation is not available.
Compensation:
- Hourly wage scale depending on experience.
