The Ministry of Corrections, Policing and Public Safety has an exciting opportunity for a highly-skilled, well-organized and dynamic professional for the role of Administrative Assistant.
The Administrative Assistant provides administrative leadership and office management support to the Saskatchewan Police College, which includes:
planning, scheduling and prioritizing meetings and other events including the coordination of travel and event logistics;
formatting and proofreading a variety of sensitive and confidential documents such as ministerial correspondence, briefing material, budget documents, reports, emails, presentations and meeting minutes, compiling background information;
maintaining office filing through records management including electronic filing, manual filing, preparing files for archiving and/or storage and adhering to the Freedom of Information Policy (FOIP);
completing financial reports and forecasts, monitoring budget expenditures, maintaining petty cash, balancing receipts and/or money collected, processing invoices, ordering supplies and the responsibility of a purchase card;
ensure compliance with financial policy and procedures by reviewing, monitoring and reconciling financial transactions as needed; and
ability to establish and maintain effective working relationships while exercising diplomacy and tact.
To be successful in this role, you will possess knowledge of accounting principles and procedures, be organized, and demonstrate flexibility in prioritizing tasks to fulfill the above duties accurately and within firm deadlines. You will be a skilled communicator, have advanced Microsoft skills and the ability to work with complex databases and online platforms; knowledge of Banner, FAST, CASPUR, GroupWise and University of Regina policies, procedures and systems is considered an asset.
The ability to work independently and with a high level of discretion is critical. The successful candidate will possess structured and strategic thinking, with an innate ability to synthesize complex information from a variety of sources into implementable tasks or processes. Experience working in a law enforcement and/or educational environment is an asset.
Typically, the competencies required for this job are obtained through a formal education program such as an office education program and/or a combination of education and experience.
