What you’ll do
The Project Manager provides leadership and coordinates the planning, execution, and monitoring of small to mid‑sized projects across the Federation. This position ensures project activities are aligned with defined objectives, timelines, budgets, and quality expectations. Working in collaboration with internal stakeholders, the Project Manager contributes to effective communication, risk identification, task coordination, and the overall success of project deliverables while applying established project management practices.
Responsibilities include:
- Lead the adoption, application and continuous improvement of a consistent project management framework across all Federation projects.
- Provide project governance oversight on Federation projects by reviewing project performance, monitoring compliance with organizational standards and controls, identifying risks and recommending corrective actions where required.
- Support project intake, prioritization, and annual planning activities by evaluating project alignment with strategic objectives, resource availability, and organizational capacity.
- Prepare, maintain, and manage project documentation, including charters, timelines, status reports, risk logs, communication materials, meeting summaries, decisions, approvals, changes, lessons learned, and records retention in accordance with organizational requirements.
- Champion organizational change management practices to support successful adoption of project outcomes.
- Develop and maintain detailed cost projections, charters, schedules, resource forecasts, and work breakdown structures for assigned initiatives.
- Coordinate, monitor and report on project activities to ensure deliverables, milestones and timelines are achieved.
- Collaborate with business owners and stakeholders to define project scope, requirements, deliverables, timelines and success measures.
- Facilitate communication among project team members, stakeholders, and cross functional groups to maintain clarity and alignment.
- Monitor project performance and proactively identify, manage and escalate risks, issues, conflicts, resource constraints or schedule variances to the Project Lead and Executive Sponsor.
- Facilitate and support project meetings by preparing agendas, coordinating stakeholder participation, reviewing project status, dependencies and risks, documenting decisions and action items, and following up to ensure completion.
- Assist in developing and executing mitigation and contingency plans for identified risks and issues.
- In collaboration with the Manager, Budget & Planning, support project budget development, funding requirements, including timeline roadmaps, capital and operating cost classification and ongoing budget performance monitoring.
- Support procurement activities and vendor engagements when external services, tools, or products are required.
- Coordinate project resource needs, including scheduling subject-matter experts, workshops, and stakeholder engagement sessions.
- Ensure project information is up to date and accurate in project management tools and repositories.
- Assist in maintaining quality assurance processes to ensure deliverables meet established standards before final approval.
- Contribute to project change‑control processes by documenting and routing proposed scope, schedule, or cost changes.
- Provide administrative support for cross-functional initiatives, ensuring documentation, approvals, and communications are handled in a timely manner.
- Assist in preparing briefing notes, presentations, and reports for leadership and stakeholders.
- Support post‑project evaluation activities, including lessons‑learned documentation and recommendations for improvement.
- Build and maintain positive working relationships with project participants, stakeholders, business partners, internal teams, and external project managers.
- Contribute to fostering a collaborative and accountable team environment throughout all phases of project execution.
What you’ll bring
- Undergraduate degree in business, project management, information technology, or a related field. Four or more years of experience supporting or managing projects, preferably in a cross‑functional environment. A combination of education and relevant experience may be considered.
- A PMP certification would be considered a strong asset.
- Working knowledge of project management principles and tools.
- Strong organizational, analytical, and problem‑solving abilities.
- Effective verbal and written communication skills with the ability to prepare clear documentation.
- Demonstrated ability to collaborate with diverse teams and maintain positive working relationships.
- Proficiency with productivity and project management software (e.g., MS Project, Planner, Excel, Teams).
- Ability to manage competing priorities with attention to detail and accuracy.
- Understanding of organizational change management, risk management, and/or process improvement methodologies is an asset.
- Understanding of capital and operating budget planning, forecasting, variance analysis, and project financial controls.
