Medical Office Assistant
Location: Markham, Ontario Job Type: Full-Time
We are seeking an organized, detail-oriented Medical Office Assistant to support our clinic's front-desk operations, patient coordination, and administrative functions. The ideal candidate is a strong communicator who can manage a fast-paced medical office environment while maintaining the highest standards of patient confidentiality and professionalism.
Key Responsibilities
Patient Reception & Coordination
- Greet and register patients warmly and professionally, creating a welcoming front-desk experience
- Manage multi-line phone systems, directing calls and taking accurate messages
- Schedule and confirm medical appointments and coordinate patient flow
- Assist with check-in/check-out procedures, ensuring all required documentation is completed
- Coordinate communication between patients, physicians, laboratories, and specialists
- Keep the reception and waiting areas organized and professional
Records & Documentation
- Interview patients to complete forms, intake documents, and case histories
- Enter and format electronic medical reports, correspondence, spreadsheets, and documents
- Initiate and maintain confidential medical files and records in compliance with privacy regulations (both electronic and paper-based)
- Process patient forms, referrals, and other medical documentation
- Prepare draft agendas for meetings and take, transcribe, and distribute minutes
Billing & Insurance
- Complete insurance and other claim forms
- Verify patient insurance/health card information and update records accordingly
- Perform basic billing tasks and prepare financial statements as needed
Clinical & Administrative Support
- Assist physicians and healthcare providers with administrative tasks
- Prepare examination rooms and ensure necessary supplies are stocked
- Order supplies and maintain inventory
- Establish and maintain internal office procedures (document tracking, filing, monthly reporting)
- Determine and establish office procedures and routines
- May supervise and train other staff in procedures and software use
- Follow all clinic policies, procedures, and safety guidelines
Qualifications & Skills
- Strong communication and interpersonal skills
- Excellent organizational and time-management abilities
- Strong knowledge of medical terminology
- Proficiency with electronic medical records (EMR) systems
- Ability to multitask and stay detail-oriented in a busy environment
- Ability to work independently and as part of a team
- Commitment to patient confidentiality and professionalism
Requirements
- Proficiency with Accuro Electronic Medical Records, or equivalent EMR is highly desirable
- 1 year of relevant medical office/administrative experience is desirable
- Legally eligible to work in Ontario
