As our company continues to grow, we are looking for an organized, motivated, and detail-oriented Project Coordinator to join our project management team.
This position is ideal for someone looking to build a long-term career in construction project management while gaining experience on a variety of civil infrastructure projects.
Position Summary
Reporting directly to the Project Managers, the Project Coordinator plays a key role in supporting the planning, administration, and successful delivery of multiple construction projects. You will work closely with Project Managers, Site Supervisors, Estimators, subcontractors, suppliers, and clients to ensure projects remain organized, properly documented, and on schedule.
The successful candidate will possess exceptional organizational skills, strong communication abilities, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Coordinate daily project administration activities from project start-up through close-out.
- Prepare and distribute meeting agendas and minutes.
- Maintain project schedules, action item lists, and follow-up tasks.
- Track Requests for Information (RFIs), Submittals, Shop Drawings, Site Instructions, Change Orders, Purchase Orders, and Contract Documents.
- Coordinate project documentation between owners, consultants, subcontractors, suppliers, and internal staff.
- Assist with tender preparation, contract administration, and procurement activities.
- Process subcontractor invoices and monitor purchase orders.
- Assist Project Managers with cost tracking, project reporting, and progress documentation.
- Coordinate permits, inspections, testing reports, and project close-out documentation.
- Support field staff by ensuring current drawings and project documents are available.
Document & File Management
Accurate document control is critical to the success of every construction project. The Project Coordinator will be responsible for maintaining complete, organized, and up-to-date project files using the company's standardized filing systems.
Responsibilities include:
- Maintaining electronic and paper project files using company standards.
- Ensuring all project documents are properly named, filed, and version controlled.
- Tracking revisions to drawings and specifications.
- Maintaining current project correspondence and records.
- Managing digital document storage using SharePoint and other project management software.
- Ensuring project records are easily accessible for project teams, audits, and future reference.
- Assisting in the continuous improvement of company document management processes.
Strong file management skills, attention to detail, and the ability to maintain organized project records are essential for success in this role.
Qualifications
- Minimum 3 years of experience as a Project Coordinator or in a construction administration role.
- Post-secondary education in Civil Engineering Technology, Construction Engineering Technology, Construction Management, or a related field is considered an asset.
- Ability to read and interpret construction drawings and specifications.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- High level of accuracy and attention to detail.
- Ability to prioritize multiple projects and deadlines.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with SharePoint, Bluebeam Revu, Buildertrend, HeavyJob, or similar construction management software is considered an asset.
- Knowledge of heavy civil construction and municipal infrastructure projects is preferred.

Pay: $53,000.00-$65,000.00 per year
