ScotiaMed Management Inc. is seeking a reliable, organized, and patient-focused Medical Administrator to join our team in Bedford, NS.
The Medical Administrator will be responsible for supporting the day-to-day operations of the medical office and ensuring patients receive a professional, respectful, and welcoming experience. This position requires someone who is confident working in a busy clinical environment, can manage competing priorities, and is comfortable communicating with patients who may be upset, frustrated, or experiencing challenging circumstances.
The ideal candidate will have experience with ACCURO and be familiar with the Nova Scotia Health system and healthcare processes in Nova Scotia. Experience working with prenatal patients is considered a strong asset.
Key Responsibilities
- Greet patients and provide professional, compassionate front-desk support.
- Manage patient check-ins and check-outs while maintaining efficient patient flow.
- Schedule, reschedule, and confirm appointments.
- Manage incoming phone calls, patient inquiries, and general office communications.
- Communicate effectively with patients, physicians, nurses, and other healthcare professionals.
- Maintain accurate and up-to-date patient records and documentation.
- Process referrals and coordinate information between patients, providers, and external healthcare services.
- Complete accurate data entry using ACCURO and other electronic medical/practice management systems.
- Assist with medical billing, coding, and related administrative documentation.
- Support prenatal patient appointments and communications with professionalism and sensitivity.
- Handle difficult or challenging patient interactions calmly, respectfully, and professionally.
- Maintain strict patient confidentiality and comply with privacy requirements.
- Keep the reception and administrative areas organized and welcoming.
- Support clinical and administrative workflows to ensure the office operates efficiently.
- Perform other administrative duties as required.
Qualifications & Skills
- Previous experience in a medical office, clinic, or healthcare administrative setting is strongly preferred.
- Experience with ACCURO is an asset.
- Familiarity with the Nova Scotia Health system and healthcare processes in Nova Scotia is an asset.
- Experience working with prenatal patients is considered an asset.
- Strong appointment scheduling, reception, and patient-flow management skills.
- Excellent verbal and written communication skills.
- Professional and compassionate telephone manner.
- Ability to remain calm, confident, and respectful when dealing with difficult or upset patients.
- Strong understanding of medical terminology and general healthcare practices.
- Experience with medical coding and healthcare billing processes is an asset.
- Proficiency with Microsoft Office and electronic medical records/practice management systems.
- Excellent attention to detail and accurate data-entry skills.
- Strong organizational and time-management abilities, with the ability to prioritize multiple tasks in a fast-paced environment.
- Ability to work independently while also contributing positively to a collaborative team.
- Commitment to patient confidentiality, professionalism, and respectful, inclusive patient care.
- High school diploma required; post-secondary education or certification in Medical Administration or a related field is an asset.
Pay: $19.00-$22.00 per hour
