Crescent School invites applications for;
Parent Relations and Events Coordinator
Reporting to the Chief Advancement Officer, the Parent Relations and Events Coordinator organizes, coordinates, and ensures assigned projects and events are delivered to Crescent School standards and expectations. This role has hands-on responsibilities in the day-to-day operations of the school, by stepping in where required including coordinating, communicating, and collaborating with a number of stakeholders ensuring requirements are understood and met. The incumbent participates in discussions regarding the full school calendar and provides identified project coordination and event services support.
Responsibilities:
● Executes key school events while following budget guidelines, coordinating logistics, such as invitations, and rentals, and acts as the on-site supervisor in collaboration with stakeholders and liaises with appropriate leads, including CPA, to ensure all events are executed smoothly
● Works closely with academic leaders and coordinators and supports community events including academic programs, Parent Association, and Alumni events, coordinating logistics, such as invitations, and rentals, and acts as the on-site supervisor as needed
● Provides support in the planning and execution of staff socials
● Provides support for school-related projects and activities, across departments, that are related to organizational priorities and school initiatives
● Maintains event budgets and provides necessary paperwork for budget reporting and when appropriate provides recommendations and alternative options to ensure the budget is maintained
● Assists with the annual calendar planning, and project coordination and attends weekly calendar meetings to review upcoming events and logistics, ensure events are reflected accurately, and address any conflicts
● Coordinates with the Food Services Manager and their team to execute all logistics for event planning.
● Provides detailed instructions to internal departments and external vendors for project coordination, event, and room set-up as related to the program and/or event
● Coordinates with Facilities and I.T. Department for any technical requirements as related to the events
● Maintains alcohol inventory, purchases and distributes alcohol for events as necessary, and provides proper accounting of alcohol inventory to the Finance Department
● Orders staff and student gifts as requested by department managers, and assists with fulfilling annual needs from the Staff Gift Fund
● Acts as the Staff Liaison for the school’s Parent Association (CPA). In this capacity, they will attend CPA meetings, help plan and execute a variety of events and functions and advise and work alongside a number of CPA volunteers and parents to support their programming.
The successful candidate must have:
● Postsecondary education
● 2 -3 years of experience in project coordination and/or event coordination
● Has excellent proficiency with computers and databases
● Communicates effectively, verbally, and in writing
● Has excellent planning and organization skills with high attention to detail
● Professional judgment, superior time management, and problem-solving ability
