Detailed Overview:
In accordance with the vision and values of the organization, this position performs a variety of clerical duties such as scheduling and booking out-patient appointments, receptionist functions, data entry, filing, typing, requisitioning supplies and other related clerical duties.
Responsibilities:
- Schedules and books outpatient appointments by performing duties such as receiving appointment requests, making follow up appointments, adjusting arrangements in accordance with patient and facility requirements, assigning to the appropriate time, date and location, and entering appointment information into computerized scheduling system. Confirms appointment information with patients/physicians/professional staff as required.

Ensures all available appointment times are filled according to established protocols.

Performs receptionist functions such as answering telephones, directing calls, responding to general inquiries, taking messages, receiving patients/visitors and directing to appropriate locations. Relays patient information to appropriate source such as physicians' offices, diagnostic departments, other treatment facilities, etc.

Performs data entry functions for a variety of clinical registries and databases by entering information into software program(s) in accordance with established guidelines/procedures.

Completes a variety of standard forms for registration/billing purposes by performing duties such as interviewing clients to obtain required information and completing/printing forms using the computerized registration system. Reviews patient documents for completeness and demographic accuracy according to established procedures. Identifies and processes corrections as required. Pre-registers patients as required.

Performs record management duties related to clinical activities such as setting up and maintaining filing systems, indexing files and materials to be filed, and conducting file searches for requested information. Transfers records, requests records from throughout the Province as necessary.

Types technical and non-technical material such as correspondence, reports, letters, manuals, memos from handwritten drafts or dictating machines.

Requisitions diagnostic tests and procedures in accordance with established procedures by performing duties such as faxing requisitions; entering requisitions into computerized systems, etc. Telephones or transmits test results and/or medical information to patients, physicians and others according to established procedures.

Requisitions, receives and stores stationery and supplies according to established procedures. Requisitions supplies as directed.

Composes and signs general correspondence such as appointment confirmations, information requests and form letters as directed or drafts correspondence for review and signature. Distributes correspondence as required/directed.

Performs various other clerical duties such as opening, sorting, and distributing mail; taking minutes or notes at meetings; photocopying/faxing documents; recording workload information; etc.

Operates electronic equipment such as photocopies, fax, etc. Responsible for maintenance such as toner replacement and minor problems as described in the owner's manual.

Participates in continuous quality improvement activities by performing duties such as providing input/feedback to the Manager (or designate) on work procedures and opportunities for process improvement.

Assists with orienting new staff by performing duties such as demonstrating work procedures, demonstrating use of equipment/systems and providing related information.

Performs other related duties as assigned.
Qualifications:
Education and Experience
Grade 12 plus two years' recent, related experience or an equivalent combination of education, training and experience.
Skills and Abilities
