Purpose of Position
Reporting to the Public Programs Specialist, the Public Programs Assistant & Liaison will support the planning, coordination, and delivery of these programs. The position provides emerging arts professionals with hands-on experience in the performing arts sector, including artist relations, program logistics, vendor coordination, travel planning, hospitality preparation, and the administrative processes required to deliver successful public programming. The role builds practical competencies that are directly transferable to careers in performing arts production, cultural management, and live event coordination.

Schedule: Monday – Friday (32 hours per week)
Contract Duration: August 31, 2026 - March 24, 2027

Key Responsibilities
- Liaise with artists and partners to gather information related to travel, accommodation, marketing materials, technical requirements, hospitality, and general support.
- Support the coordination, scheduling, and booking of all public onsite and virtual programs, as well as other divisional events, including resource bookings in the Museum's Artifax system.
- Perform day-of-event duties, including preparing hospitality spaces, greeting artists and partners, providing wayfinding, answering questions, and ensuring adherence to program schedules.
- Collect and organize artist and performance data for grant applications and reporting.
- Collect, prepare, and organize invoices, receipts, and other financial documentation.
- Maintain consistent program documentation and communications in Monday.com and update records as needed.
- Liaise with the Museum Operations and IT department to maintain and update program ticketing and booking systems.
- Support ongoing Collections & Public Programs projects as required.
- Perform any other duties as assigned by the line manager.
Qualifications & Experience
- Bachelor's degree in Arts Administration or a related field.
- Minimum of one year of experience in an administrative environment related to the arts, culture, or education sectors.
- Knowledge of arts and cultural organizations and familiarity with databases, administrative systems, and procedures.
- Strong interpersonal, oral, and written communication skills, with a commitment to providing high-quality service when engaging with internal and external stakeholders.
- Demonstrated organizational and time management skills.
- High proficiency in the Microsoft Office Suite. Experience with Artifax and Monday.com is an asset.
- Experience working with numbers, financial documentation, tables, and reports.
- Technical aptitude and a willingness to learn new systems.
- Ability to manage multiple priorities in a fast-paced environment.
- Flexibility to work onsite and online as required.
- Inclusive, respectful, and comfortable working with diverse communities.
- This role may require occasional evening or weekend work depending on programming needs, as well as regular interaction with visiting artists and partners.
- A valid driver's licence and access to a reliable vehicle are assets.
- Expressed interest in the Museum's mandate.

- Commit to the full duration of the contract period.
Note:
- Non-Canadian students holding temporary work visas or awaiting permanent resident status are not eligible.
Priority will be given to graduates who have not previously participated in Young Canada Works internship programs and who are unemployed or underemployed.
