About the role
The Building Operations Coordinator supports the Director of Building Operations in the development, implementation and oversight of the building operation and maintenance procedures of the MaRS Centre. This on site position is involved with all aspects of supporting building operations including contract management, purchase orders and invoices, tenant requests and preventive maintenance.
Key Responsibilities
Building Operations
- Assist with day-to-day property operations and maintenance
- Coordinate and support all administrative duties related to building operations, including obtaining quotes, requesting purchase orders and invoice approvals.
- Update and maintain building operations process and procedures documentation
- Provide notifications and operations updates to other Innovation Hubs areas, including Tenant Services
- Respond to assigned Angus Anywhere work orders, provide relevant updates and escalate as required.
- Take part in all meetings related to operations or requested by the Director of Building Operations.
- Maintain building operations parts inventory, including plumbing, lighting, electrical and mechanical.
- Remain flexible to work based on the requirements of a 24/7 building operation, including some evenings and weekends for power shutdowns and emergency response.
Contract Coordination
- Coordinate building and vendor contracts as assigned by the Director, including elevator and escalator maintenance and window cleaning. Monitor performance and escalate as required.
- Coordinate and provide information to relevant Innovation Hub team members about vendor schedules (eg BAS, metering, and window cleaning)
Work Permit Coordination
- Coordinate and administer the MaRS Activity Permit process; manage approval process by the Operations Manager and Director of Building Operations. Communicate with relevant building staff and act as central point of contact for permit requestors.
- Inform Director of Building Operations daily about approved permits taking place in the complex.
Cross-Functional Collaboration
- Develop and maintain proactive and positive relationships with Innovation Hubs team members, tenants, vendors, suppliers and service providers.
- Support cross-functional Innovation Hubs team delivery with other duties as assigned.
Qualifications
- Post-Secondary education in related field and/or equivalent experience
- 3+ years in an administration role, property administration an asset
- Demonstrate knowledge of building systems
- Ability to prioritize and meet deadlines in a dynamic environment.
- Expertise with electronic preventative maintenance, building automation and electronic security systems
- Knowledge of Microsoft and other computer systems
- Able to work independently and respond well to clear direction
- Ability to work effectively with all types of stakeholders
- Great communication skills verbal and written.
- Experience with Angus Anywhere CMMS, an asset
Salary Range: $58,000 - $65,000, up to 10% discretionary incentive, benefits and paid time-off.
